Duties

Help

  • Performs and oversees the clerical and administrative duties of the Child and Youth Programs.
  • Monitors and manages the reception desk.
  • Assists with the programs' daily financial collection procedures, reporting requirements and deposits.
  • Maintains and manages the programs waitlist.

  • This position has been identified as having "regular contact with children". In accordance with (IAW) Public Law 101-647 Section 231, Public Law 102-190, Section 1094, and DoD Instruction1402.05, background checks are required.
  • DD Form 2981 Basic Criminal History and Statement of Admission, Installation Records Check, FBI fingerprint, and Tier 1 with a State Criminal History Repository (SCHR) check will be completed on any person selected for this position.
  • Renewal every five years of the Installation Records, FBI Fingerprint and SCHR is required with annual review of DD Form 2981.
  • This position is subject to provisions of the DoD Priority Placement Program
  • Certificate in first aid and cardiopulmonary resuscitation is required.
  • May occasionally be required to work other than normal duty hours and/or shift work may be required which may include overtime and/or irregular hours.
  • Disclosure of Political Appointments
  • IAW 34-144 and DoD Certification requirements, a pre-employment physical examination with renewal at least every 3 years and specified immunizations are required.
  • This is a Mission-Essential position performing a Mission-Critical-Function which must continue uninterrupted after the occurrence of an emergency and continued through full resumption of all functions.
  • The work requires the employee to drive a motor vehicle. An appropriate, valid driver’s license is required for the position.
  • This position has been designated by the Air Force as a Testing Designated Position (TDP) under the Air Force Civilian Drug Demand Reduction Program.
  • Employee must pass initial and periodic short notice drug testing. Illegal drug use by employees in sensitive positions presents a clear threat to the mission of the Air Force, national security, and public safety.
  • Employees and family members requiring medical/dental care in the overseas location are responsible for obtaining/paying for care. Access for these members to military medical/dental treatment facilities is on space-available/reimbursable basis only.
  • Full/part-time employees occupying direct childcare positions are eligible for discounts IAW DAF AFSVC/CC Memo, 30 Sep 22; first child 100% / each additional child 25%. Other assigned CYP and FCC personnel are eligible for 25% discount.
  • Travel and relocation expenses will NOT be paid. Recruitment is limited to only local commuting area.
  • Required to complete SF-85 background check.
  • A physical examination is required for this position.
  • The incumbent must have the ability to type a minimum of 40 Words Per Minute

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Programs.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-04, or equivalent in other pay systems. Examples of specialized experience includes experience that has provided knowledge of a body of standardized rules, procedures and operations involved in a Youth Programs atmosphere, performing standard clerical and administrative assignments that occur in the normal child development center, and resolving recurring problems; performing various office automation software processing procedures to generate reports and produce a variety of documents; exercising financial responsibilities including computing, collecting and recording fee collections; preparing various routine correspondence/reports using knowledge of grammar, spelling, capitalization, punctuation, and commonly used specialized terminology; maintaining files/ records and reviewing and processing mail.

EDUCATION:
Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: You must submit a copy of transcripts.

COMBINATION OF EXPERIENCE AND EDUCATION:
A combination of education and experience may be used to qualify for this position, only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. NOTE: You must submit a copy of transcripts.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  1. Knowledge of general administrative, clerical and office procedures to answer telephones, maintain files/office
    forms, order supplies, and general administrative guidance.
  2. Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction. Maintain impeccable customer service standards, utilize customs and courtesies and maintain poise while providing assistance with both internal and external customers.
  3. Knowledge of Child and Youth programs policies, regulations and procedures pertaining to enrollment, fire protection, to include all emergency procedures and actions, safety, health, and child illnesses.
  4. Skill to use a variety of standard office automation software (e.g. Microsoft Office) to accomplish various office
    support functions, such as email, word processing, database input, spreadsheets, graphics, reports, etc.; including ability to use agency unique software programs.
  5. Skill in typing; a qualified typist is required.
  6. Ability to communicate effectively orally and in writing, and maintain good working relationships with coworkers, supervisors, children and their parents.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
