Summary

This position is organizationally aligned under the Chief of Staff Community Care at Edward Hines Jr. a Level 1a Complexity VAMC Facility. The primary purpose of this position is to coordinate and manage the provision of medical testing, treatment and/or procedures to both internal and external patients referred for diagnostic services and/ or treatment.

Help

The Lead PSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to:

  • Distributes and balances the workload among employees in accordance with established workflow or job specialization, assure timely accomplishment of the assigned workload, and assure that each employee has enough work to keep busy.
  • Keeps in touch with the status and progress of work and makes day- to- day adjustments in accordance with established priorities, obtaining assistance from the supervisor on problems that may arise, such as backlogs which cannot be disposed of promptly.
  • Estimates and reports on expected time of completion of work and maintain records of work accomplishments and time expended and prepare production reports as requested.
  • Instructs employees in specific tasks and job techniques and make available written instructions, reference materials and supplies.
  • Gives on the job training to new employees in accordance with established procedures and practices.
  • Maintains a current knowledge and answer questions of other employees on procedures, policies, directives, etc. and obtains needed information or decisions from supervisor on problems that come up.
  • Checks on work in progress or spot checks work not requiring review and reviews completed work to see that supervisor's instruction on work sequence, procedures, methods, and deadlines have been met.
  • Amends or rejects work not meeting established standards, refer to supervisor questions or matters not covered by standards and problems in meeting performance standards.
  • Monitors working conditions such as seating, ventilation, lighting, safety, etc.; Informs employees of available services and employee activities.
  • Resolves simple, informal complaints of employees and refer others to supervisor.
  • Reports to supervisor on performance, progress, and training needs of employees, and on behavior problems.
  • Provides information to supervisor as requested concerning promotions, reassignment, recognition of outstanding performance, and personnel needs.
  • As a Community Care Coordinator, serves as the link between providers, Division Managers, Chief of Staff: Fee Service and assigned Fund Control Personnel to provide accurate information quickly and on short notice.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/19/2025.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:

GS-7 Grade Requirements: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the Health Care Facility's DHCP/VISTA system for the entry of data in the System; Knowledge of and competence of CPRS, HSRM, PPMS, My Health eVet and ED Notification Share point; Knowledgeable in the functionality of record scanning into the Vista Imaging Program, HSRM and Ref doc; Knowledge in gathering data and statistics for studies reports and surveys; Knowledge of effective business writing skills and research methods; Ability to assume responsibility without direct supervision; Must be able to handle confidential information; Knowledge of patient scheduling, ancillary testing, referrals, and consultant procedures; Knowledge of medical terminology; technical skill in the use of personal computers, including the use of word processing, spreadsheet graphic reports and data base software to develop and maintain data basis and tracking mechanisms.

Preferred Experience: PSA GS-6 experience, scheduling.

Physical Requirements: The physical demands of this position require stamina, fortitude, good health, control of emotions, flexibility, bending, sitting, twisting, turning, standing, walking, carry medical records and radiology files, repetitive keyboarding and occasional pushing and pulling of carts.
