Summary

The incumbent is primarily responsible for typing, data entry, accounting and procurement paperwork; coordinating written information; creating and implementing mailing lists, and a variety of other clerical tasks designed to support the smooth flow of information and work in the Marketing office. The incumbent will also assist in the basic graphics techniques to assist in the production of signs, banners, and other support materials.

Duties

Help

  • Types a variety of materials (e.g. correspondence, reports, sponsorship solicitations, publicity and other materials) from clean copy to rough draft.
  • Maintains an MWR database of customers, sponsors and others as required. Ensures that all mailing lists are updated and produces labels and other materials for use in mass mailings.
  • Coordinates distribution of publicity materials to various customers and recipients including delivery and brochure rack stocking.
  • Sorts all incoming correspondence, mails MWR newsletter, responsible for updating and keeping MWR mailing list, sponsor mailing list, afloat mailing list and others as required. Mails meeting notes for planning boards, advisory boards, and other Installation functions.
  • May assist with coordinating of special events and programs.
  • Keeps logbook of all Marketing requests, correspondence, publicity, and other information. Logs and files all sponsor letters and maintains a running file of sponsor contributions and contracts.
  • May assist in Power Point presentations, input of the Marketing Budget on Microsoft Excel and other departmental objectives.
  • Drives an MWR vehicle to deliver materials and for departmental errands.
  • Requests information from MWR publicity/special events coordinators, receives visitors and telephone calls and directs them to the proper staff representatives.
  • Coordinates the smooth flow of reporting paperwork including accounting forms and purchase orders.
  • Assists the MWR graphic artists and printshop personnel with projects such as creating signs, bindery work, lamination, and other projects as required.
  • Performs other duties as assigned.

  • Work schedule is flexible and will vary as required by the needs of the program to include night, weekend, and holiday shifts as well as split days off.
  • Valid state issued driver's license.

Qualifications

  • Requires the skills of a fully qualified typist, basic knowledge of Microsoft Office products including Word, Excel, and PowerPoint.
  • Basic knowledge of English, grammar, spelling and business/military writing style.
  • Knowledge of public relations formats is desirable.
  • Knowledge of normal format, forms, military style and business format.
  • Possesses skills in organizing and planning.
  • Understanding of database programs and entry.
