Summary

The incumbent of this position will serve as the Lead Medical Support Assistant: Residential Rehabilitation Treatment Program (RRTP) Centralized Screening Team (CST) to the VA Mid-South Healthcare Network VISN 9, reporting to the Psychology Program Manager. They will review, plan provide support across multiple ancillary and interprofessional clinics, needs of the veteran, and coordinate the delivery of RRTP screening practices across this network of five facilities to achieve VISN 9's mission

The Lead MSA provides specialized and expert administrative patient support while working collaboratively in an interprofessional coordinated care delivery model. Duties for the position may include but are not limited to:

Collaboration and Communication

  • Collaborate with VISN mental health programs, services, and interprofessional care team members to provide access to care.
  • Develop and maintain effective communication with Veterans, care delivery teams, VA Medical Centers, and non-VA medical facilities.
  • Proficiently use multiple contact modalities (telephone, secure messages, chat, email) for incoming and outgoing communication.
  • Relay messages to internal and external staff members of the VISN 9 Centralized Screening Team.
  • Participate in daily huddles with VISN MH RRTP Centralized Screening Team staff and MH RRTP facility stakeholders.
Scheduling and Appointment Management
  • Receive, schedule, reschedule consults, cancel appointments, and enter no-show information.
  • Interpret and verify provider orders according to VHA National Scheduling guidelines.
Electronic Health Records and Data Management
  • Review electronic health records and obtain medical records. Verify and update patient demographics.
  • Use advanced patient systems to support multiple clinics in an interprofessional coordinated care delivery model.
  • Manage patient systems to verify and validate accuracy and resolve issues.
  • Utilize various software and hardware systems to transfer and capture information electronically.
Patient Flow and Connection to Resources
  • Ensure efficient Veteran scheduling and clinic readiness using advanced healthcare process knowledge.
  • Partner with VA Business Offices and Veteran Transportation Services to ensure eligibility for services, and coordinate transportation and travel options for Veterans.
Customer Service
  • Provide high-quality customer service to Veterans and their families/caregivers.
  • Resolve Veteran requests within scope.
  • Communicate effectively with challenging customers.
Administrative Judgment
  • Escalate symptomatic concerns to clinicians or appropriate disciplines within the VISN for resolution.
  • Evaluate patient information to determine needs for immediate appointments.
  • Recommend changes to existing clinic procedures based on current administrative guidelines.
Other Duties
  • Perform other related duties as assigned.

Work Schedule: Monday - Friday 7:30 am - 4:00 pm or 8:30 am -5:00 pm (subject to change to meet Agency needs).

Basic Requirements:

  • United States Citizenship: Citizens of the United States.
  • Experience and Education
    • Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
    • Education. One year above high school; or
    • Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
  • Certification: None required.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: In addition to the basic requirements above, applicants must meet the following experience:

Experience. One year of experience equivalent to the next lower grade level GS-6 Advanced Medical Support Assistant grade level. Duties at this level include, but are not limited to: working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. Recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinates with the patient care team to review clinic appointment availability (utilization) to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics, and makes adjustments as necessary. MSAs at this level develop and/or maintain effective and efficient communication with the patient, interdisciplinary coordinated care delivery model teams, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; prepare correspondence to notify patients of normal lab results; manage a system for follow-up care such as consults, tests, etc..

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:
  1. Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
  2. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
  3. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
  4. Skill in communicating with individuals to obtain the desired effect [and coordinating with a variety of interdisciplinary care team staff.
  5. Ability to provide staff development and training.
  6. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.

The full performance level of this vacancy is a GS-7.
