Duties

Help

  • Based on detailed knowledge of the organization and its programs and operations, screens incoming mail/calls to identify what needs to be brought to the attention of the Commander/Director, referred to appropriate staff, rerouted to other organizations/offices, or handled personally.
  • Maintains multiple calendars, coordinates meeting arrangements and schedules meetings and/or conferences based on knowledge of Commander/Director's commitments, priorities, workload and current issues of importance and coordinates with supervisor as necessary.
  • Uses professional software to create, format, modify, edit and print a variety of letters, reports, memos, and other documents and communications IAW AF guidelines. Independently transcribes and collates material in final from handwritten or electronic notes with responsibility for selecting appropriate format depending on the nature of the material, word usage, and grammar.
  • Ensures timely follow-up action on requests for information.
  • Coordinates with subject matter experts for all mandated and assigned unit and/or administrative support programs.

Qualifications

Experience requirements are described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support positions.

SPECIALIZED EXPERIENCE: Applicants must have at least 1 year (52 weeks) of specialized experience at the next lower broadband NK-02, equivalent to the next lower grade GS-07 or equivalent in other pay systems. Specialized experience described as: preparing a wide variety of recurring and nonrecurring correspondence, reports and other documents from information obtained from the staff, files, and other sources; reviewing and processing incoming and outgoing correspondence; providing telephone and reception services; maintain supervisor's calendar, coordinating meeting arrangements and scheduling meeting and/or conferences; performing clerical work; use of multiple office automation software with varied functions; locate, assemble, and compose information for reports, inquiries, and nontechnical correspondence; and the ability to plan, organize work, and meet deadlines. NOTE: Due to the use of 120-day rosters, this period of experience may be completed within 120 days of the closing date of this announcement.

Ideal Candidate (will not be used for qualifications determination): The ideal candidate will be an expert at efficiently completing a wide variety of office administration functions and communicating with diplomacy while consistently demonstrating polite behavior, military protocol knowledge, and proper etiquette to reflect well on the Headquarters.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of extensive rules, procedures, or operations applied to administrative assignments to perform the procedural and administrative work of the office, such as preparing and editing documents, locating and assembling information for various reports, maintaining files/records, and making and preparing travel arrangements.
2. Knowledge of office functions and commitments of supervisor and staff to prepare and review correspondence, to screen telephone calls and visitors, to maintain supervisor's calendar, and to perform other substantive or administrative work of the organization.
3. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence, reports, and transcribed material.
4. Knowledge of word processing automation software functions to support office operations and produce a variety of textual documents such as letters, reports, memos, and form letters.
5. Knowledge of standard office equipment such as copiers, fax machines, printers and office automation systems and software to perform substantial range of office automation support.
6. Skill in typing; a qualified typist is required.
7. Knowledge of management and/or program analysis technical rules, guidelines, regulations and precedents with the ability to communicate effectively, both orally and in writing, using tact, courtesy and diplomacy.
8. Knowledge of the organization and its functions and programs to answer inquiries of a general nature, refer items of interest to responsible staff, subject-matter filing, receptionist duties and other general clerical practices to support office operations.
9. Ability to perform basic arithmetic calculations and analytical functions.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

This is an acquisition demonstration project position NK-03 equivalent to a GS-8 to GS-10.
