Summary

The AMSA assists veterans and provides a smooth process for managing their VA oncology medical appointments. AMSA supports work in connection with the care and treatment given to the Veterans by performing various support duties that facilitate the work of an interdisciplinary coordinated care delivery model. They collaborate with the clinics to obtain appropriate documentation for VA oncology appointments in the National TeleOncology service.

Help

Duties include but are not limited to:

  • Independently performs a full range of duties for delivering healthcare services in an outpatient setting. - The AMSA advises clinical staff on current administrative processes.
  • Follow NTO standard operating procedures to schedule Veteran appointments in the appropriate modality, with VA National TeleOncology (NTO) across multiple VA medical centers/sites engaged with NTO.
  • Coordinates timely care for the Veteran based on the priority indicated in the consult. This requires knowledge of medical conditions and terminology.
  • Responsible for answering phones and relaying messages to appropriate staff within the NTO Program or at the sites participating with NTO, scheduling appointments, and interpreting and verifying provider orders by VHA national scheduling guidelines.
  • Assignments at this level include but are not limited to scheduling, canceling, and rescheduling patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; ensuring encounter forms are completed to obtain appropriate workload credit; and participating in huddles with other Medical Support Assistants and/or clinic staff to determine the program's daily needs. Adjusting the flow and sequencing of the work to meet team and patient needs.
  • Collaborates in an interdisciplinary coordinated care delivery model, performs customer service and other duties assigned for the proper and timely treatment of patients, and maintains appointment schedules for one or more NTO clinical teams.
  • Assist with access contingency plans by adjusting appointment times, locations, or dates and shifting patients to other NTO healthcare providers as conflicts with staffing and/or coverage occur.
  • Independently manage position responsibilities with little supervision and set priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs.
  • Notifies supervisor if an individual patient cannot be scheduled within mandated clinic timeframes.
  • Develops and maintains effective working relationships with all clinical and administrative staff in determining priorities of activities in support of direct patient care.
  • Interprets and applies a complex body of pertinent laws, regulations, directives, and VA Healthcare Benefits administration policies.

Qualifications

Basic Requirements:

  • United States Citizenship. Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience and Education. (1) Experience. Six months experience of clerical, office, [customer service], OR other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
  • English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations:

Advanced Medical Support Assistant, GS-6

In addition to meeting the basic requirements, do you possess one (1) year of experience equivalent to the next lower grade level (GS-5) AND demonstrate the following knowledge, skills, and abilities (KSA'S) below:

i. Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
ii. Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
iii. Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
iv. Advanced knowledge of the technical health care process including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals as it relates to access to care.
v.Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.

Preferred Experience: Scheduling experience. Telehealth experience. Oncology experience preferred.

The actual grade at which an applicant may be selected for this vacancy is GS-6.

Physical Requirements: The work is primarily sedentary. Physical demands are, at most, those of a typical office setting. Some may be walking, standing, twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying light items. Some positions may require sitting for an extended period at a computer terminal, typing data while talking on a telephone headset. In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern.
