Duties

Help
  • Directly assists the Agency Forester and Fire Management Officer and the Office of the Superintendent in performing administrative tasks that support the administrative functions.
  • Provides detailed cost analyses and control of all personnel, vehicles, procurements, contracts, and other administrative costs of the program.
  • Employees serves as the program support assistant and develops protocols and methods that aid in directing calls and mail inquiries to the proper program staff.
  • Employee is responsible for processing, correcting, tracking, recording, and maintaining financial documentation and information for the program.
  • Maintains work and travel planning calendars and schedules for program staff, based on knowledge of each of their required programs’ duties and responsibilities.
  • Serves as Point of Contact (POC) for the Casual Pay System. Responds to all payroll related directives and collects and provides all feedback for the program.
  • May serve as a member of an administrative payment team for large fire expenditure needs at the Southern Pueblos Agency fire program.
  • Incumbent provides secretarial/clerical services for the Forestry and Fire programs.

Qualifications

EXPERIENCE AND EDUCATION REQUIREMENTS: (OPM Operating Manual, Qualification Standards for One-Grade Interval Clerical and Administrative Support Positions, GS-0303).

GS-7: 1 year of specialized experience equivalent to the GS-6 grade level in the Federal service (obtained in the public or private sector). This experience must include 6 of the 11 activities: 1) proficiently utilize Microsoft Office programs and other automated systems for creating travel authorizations; 2) reviewing travel vouchers; 3) maintaining time and attendance records; 4)monitoring financial data; 5) maintaining program budget activities; 6) charge card transactions; 7) inventory management; 8) processing purchase requests and generating reports; 9) coordinating and compiling program data from various resources for reporting purposes and monitoring multiple tasks, or projects to ensure completion by established due dates; 10) providing guidance or assisting others with budget support activities, travel regulations, time and attendance procedures, charge card policy, inventory management process, and records management schedules; 11) review purchase requests to ensure proper formatting forth review and approval process.

GS-6: 1 year of specialized experience equivalent to the GS-5 grade level in the Federal service (obtained in the public or private sector). This experience must include 3 of the 8 activities: 1) receiving visitors and telephone calls to direct inquiry to appropriate personnel; 2) maintaining activity calendar, organizing conferences, meetings and training sessions; 3) proficient in utilizing Microsoft Office to generate correspondence, electronic forms, spreadsheets and other electronic tracking records; 4) monitors suspense dates for program related material, inquiries and projects to ensure completion by established due dates; 5) coordinating travel arrangements and processing vouchers; 6) assisting with budget activities including reconciling charge card transactions, recording data in the automated budget tracking system; 7) prepares purchase requests for office supplies, equipment or services;8) maintaining off ice filing Systems.

EDUCATION: Does not apply for these grade level.

Proficiency Requirement:
Applicants must also meet the following proficiency: 40 words per minute typing speed based on a five-minute sample with three or fewer errors.
