Duties

Help

As a SECRETARY (OA), GS-0318-07, you will prepare a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources. Review and process incoming and outgoing correspondence, reports, and other materials submitted for the Commander's signature. Receive telephone calls, greets visitors and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help. Maintain supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office. Perform other clerical and administrative work in support of the office/organization. Use varied and advanced functions of word processing software to create, format, modify, edit, and print a variety of letters, reports, memos, and other textual documents. Perform other duties as assigned.

This is a Title 5 Excepted Service position in the Pennsylvania Army National Guard.

GENERAL EXPERIENCE: Experience, education or training performing any combination of the following tasks: typing (letters, forms); general clerical (answering the telephone, receiving visitors, composing correspondence, filing, reviewing outgoing correspondence for grammar, format, etc.) stenographic (taking and transcribing shorthand). Experience using computer and automation systems.

SPECIALIZED EXPERIENCE: Application must indicate 12 months experience in the performance of clerical or administrative duties which demonstrates that the candidate has thorough knowledge of office routines and functions sufficient to refer visitors and telephone calls and to route correspondence by name or functional area. Experience providing technical guidance and overseeing office procedures to meet the needs of an organization.

QUALITY OF EXPERIENCE: Length of time is not of itself qualifying. Candidates' experience should be evaluated on the basis of duties performed rather than strictly on the rank of the individual; however, established compatibility criteria/assignments must be followed. The applicant's record of experience, training, and education must show possession of the knowledge, skills, and abilities needed to fully perform the duties of the position to be filled.

Education

If you are using Education to qualify for this position, completion of 2 academic years of education in an accredited college or university will satisfy the requirements for GS-4 positions. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience for GS-5 positions.

You must provide transcripts or other documentation to support your Educational claims. To receive credit for Education, you must provide documentation of proof that you meet the Education requirements for this position.

Additional information

In accordance with section 9902(h) of title 5, United States Code, annuitants reemployed in the Department of Defense shall receive full annuity and salary upon appointment. They shall not be eligible for retirement contributions, participation in the Thrift Savings Plan, or a supplemental or redetermined annuity for the employment period. Discontinued service retirement annuitants (i.e., retired under section 8336(d)(1) or 8414(b)(1)(A) of title 5 United States Code) appointed to the Department of Defense may elect to be subject to retirement provisions of the new appointment as appropriate.
