Duties

Help
  • Assists the Division Chief and Branch Chiefs in secretarial and administrative work.
  • Receives and distributes incoming mail. Maintains suspense records on incoming and outgoing correspondence and documents and follows through to ensure suspense dates are met.
  • Receives and screens all visitors and telephone callers. Uses own judgment in referring calls to other members of the Division and District.
  • Maintains all calendars, including automated calendars.
  • Makes travel arrangements such as plane, rental car, and hotel reservations. Prepares travel orders and vouchers.
  • Prepares timekeeping using CEFMS Timekeeping module software. Upon request, advises Division staff on time and leave guidelines. Takes lead in coordinating with Resource Management and other division secretaries on District/Division policy.
  • Makes purchases such as meeting room rentals and conference tuition using Government credit card. Assists in the development of the organizations operating budget.

GS-05
Specialized Experience:
One year of specialized experience which includes meeting two of the following1) Perform time keeping responsibilities and receiving telephone calls and personal visitors for office staff, 2) prepare and edit complex documents and/or reports; AND 3) utilize automated software, such as Microsoft Excel, Microsoft Word, or Microsoft Power Point to prepare correspondence This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

Education
: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.

Specialized Experience: One year of specialized experience which includes meeting all of the following: 1) Perform time keeping, making travel arrangements, and receiving telephone calls and personal visitors for office staff; 2) preparing a variety of narrative and tabular materials such as requisitions, correspondence, memoranda, and administrative forms from rough draft, or brief instructions, into final form; AND 3) utilize automated software, such as Microsoft Excel, Microsoft Word, or Microsoft Power Point to prepare correspondence. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
OR
Education: A half year (i.e., 9 semester hours) of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Business Administration.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 9. Add the two percentages.

Selective Placement Factor: This position requires a selective placement factor as a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.
