Summary

This position serves as the Administrative Assistant in support of the TVHS Pharmacy Service and is located at the Alvin C. York Campus. The position reports directly to the Associate Chief, Pharmacy Service and ultimately the Chief of Pharmacy and is responsible for performing a wide variety of administrative support for all pharmacy-related operations and provides direct assistance to the Associate Chiefs and various section Pharmacy Supervisors within the TVHS Pharmacy Service.

Duties

Help

Duties include, but are not limited to:

  • Performs clerical, administrative, and technical support work for the Pharmacy Service.
  • Assists daily with phone calls to/from Veterans, process mail, and prepares letters as required.
  • Maintain calendar of appointments, meetings, conference calls and other various scheduled activities for the Chief, Pharmacy Service.
  • Collaborate with other timekeepers and leave approving officials to ensure accurate and timely processing of timecards and payroll obligations.
  • Communicate effectively with people from diverse cultural, educational, and organizational backgrounds within and outside the medical center.
  • Provide technical assistance to Pharmacy Service employees cross trained into aspects of the duties of this position.
  • Initiate/follow-up on needed orders as assigned.
  • Exhibit a willingness to learn new skills and embrace new ideas that would benefit the organization.
  • Demonstrate the skill and ability to handle several projects at the same time while receiving interruptions in workflow and ensuring deadlines and requirements are consistently met.
  • Be able to respond pleasantly and with skill, tact, diplomacy, and discretion when interacting on the telephone or face-to-face with individuals from inside or outside the VA and at various levels (e.g., medical center administration, clinical staff, support staff and visitors).
  • Be able to work independently with minimal supervision and guidance; able to use own initiative and judgement in establishing work priorities.
  • Provide program support in backup role to existing Administrative Officer and Program Specialist, which requires a basic knowledge of pharmaceuticals and their drug class.
  • Populate databases as assigned to support data compilation and collections in support of the organization mission.
  • Initiate new employee paperwork and track to completion.
  • Maintain inventory of office supplies needed for normal operations as well as drug recall notifications to patients. Processes reproduction requests.
  • Submit electronic work order requests.
  • Reviews reports for accuracy of assigned fees and equipment.
  • Submit OI&T tickets and provide technology assistance to employees for issues, new software/hardware/equipment, etc.
  • Acts as the chair/co-chair for the Pharmacy Safety Committee. Ensures all requirements form Safety are met throughout the year.
  • Ensures all contract employees paperwork is submitted correctly to credentialing, request TMS and computer access, and provides necessary information for PIV cards.
  • Submit work order requests for computer access, new equipment, space, furniture, and maintenance.
  • Maintain Pharmacy Service email groups in Outlook and VISTA.
  • Provides timekeeping support for all units within Pharmacy Service.
  • Work with and maintain the confidentiality of various documents.

Physical Requirements: The incumbent works in an office setting. Duties require sitting, some walking and light lifting of medical records. Incumbent works extensively in the hospital computer system. Physical demands are limited to normal working, carrying of small batches of documents, papers or pieces of equipment and walking between the workstation and other work locations within the medical center. There are no unusual physical requirements.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, To be creditable, specialized experience must have been equivalent to at least the next lower level (GS-5) of Federal service. Qualifying experience includes performing a full range of administrative support for an office; receiving visitors and phone calls; reviewing all incoming and outgoing correspondence; scheduling meetings; typing a variety of correspondence. and maintaining databases and utilizing various software programs. This experience must be detailed in your resume to receive credit.
