Summary

This position is assigned to the Physical Medicine and Rehabilitation Service (PMRS). The incumbent functions as a program and administrative assistant to one or more assigned programs of PMRS under the VA Rocky Mountain Regional Healthcare System umbrella. The incumbent will operate independently and provide administrative assistance to the assigned program(s). Incumbent may be required to travel between the Healthcare System's larger facilities and any Community Based Outpatient Clinic (CBOC)

Help

This position provides program administrative and technical assistance in the day-to-day operations, program planning for the assigned program (s), and completes special projects as assigned. Position is responsible for recognizing and resolving program issues on an ongoing basis. The incumbent monitors and maintains program requirements for the Joint Commission and ECHCS standards and quality improvement activities as assigned. The duties and responsibilities include, but are not limited to:

  • Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the assigned program (s)'s operation.
  • Assists in the planning, review, and reporting of data/statistical results of program/project studies.
  • Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data.
  • Performs a basic analysis of the data and generates a variety of reports e.g. equipment outcomes, performance data, and other productivity measures.
  • Evaluates documents, e.g., consults applications, and other data collection forms.
  • Is responsible for coordinating incoming data from a variety of sources; reviewing documents, reports, and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate.
  • Maintains automated system of program-specific data to track suspense on items such as projects milestones, progress reports, funding accomplishments, and distributes meeting agendas, records and distributes meeting minutes.
  • Performs general clerical duties and other appropriate duties as requested.
  • Distributes mail, directional assistance for patients, manages work orders for Audiology as requested.
  • Performs as timekeepers.
  • Is a purchasing card holder to order clinic supplies.
  • Maintains sections Material Safety Data Sheets.
  • Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00 am to 4:30 pm

Physical Requirements: The physical demands of the position involve standard office requirements such as using the telephone, working with written documents and files, writing, etc. Some walking, standing, bending, carrying of light items such as books, files, papers, etc., and pushing of carts may be involved. Considerable walking between various buildings of the facility is required and occasional off-station activities may be required.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 10/04/2024

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes:

  • Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the assigned program(s)'s operation;
  • Performs as primary and/or backup timekeeper;
  • Performs a basic analysis of the data and generates a variety of reports e.g. equipment outcomes, performance data, and other productivity measures;
  • Evaluates documents, e.g., consults, applications, and other data collection forms;
  • Schedules and arranges meetings, maintains and distributes meeting agendas, records and distributes meeting minutes.
NOTE: Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Participation in the seasonal influenza program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP). It is a requirement that all HCP to receive annual seasonal influenza vaccination or obtain an exemption for medical or religious reasons. Wearing a face mask is required when an exemption to the influenza vaccination has been granted. HCP in violation of this directive may face disciplinary action up to and including removal from federal service. HCP are individuals who, during the influenza season, work in VHA locations or who come into contact with VA patients or other HCP as part of their duties. VHA locations include, but are not limited to, VA hospitals and associated clinics, community living centers (CLCs), community-based outpatient clinics (CBOCs), domiciliary units, Vet centers and VA-leased medical facilities. HCP include, but is not limited to, all VA clinical and administrative employees who are expected to perform any or all of their work at these facilities.

Pursuant to VHA Directive 1193.01, VHA health care personnel (HCP) are required to be fully vaccinated against COVID-19 subject to such accommodations as required by law (i.e., medical, religious or pregnancy). VHA HCPs do not include remote workers who only infrequently enter VHA locations.
