Help

As a ADMINISTRATIVE ASSISTANT (TITLE 32), GS-0303-7, you will provide technical and administrative assistance for programs within the Air Commander's area of responsibility.

Major Duties - This is NOT an all-inclusive list:

  • Maintain Air Commander and/or Vice Air Commander's calendar and schedule of appointments.
  • Make all necessary arrangements for conferences, meetings, and travel.
  • Receive visitors and telephone calls for the Air Commander and/or Vice Commander.
  • Maintain personal contact with functional managers to discuss administrative practices and services, provide technical advice and guidance, and recommend methods and procedures where necessary.
  • Advise other administrative personnel of latest directives regarding administrative procedures.
  • Provide information, explain the application of regulations, and resolve problems with contacts as they relate to administrative functions.
  • Coach managers, identify trends, and develop analysis tools using data from reports.
  • Advise of systematic strengths and weaknesses.
  • Assist in the development of inspection schedules; coordinate timetables with staff directorates and major commands; develop areas of inspection through analysis of prior inspection reports and identification of previous problem areas.
  • Assist in the development of policy letters which may require researching applicable directives from higher authority, to ensure conflict will not result from issuance of new policy.
  • Prepare and submit required reports.
  • Prepare and review outgoing correspondence for proper format, policy, and procedural adherence.

  • This is an excepted service position that requires membership in the Illinois National Guard and in the military grade listed in the announcement.   • Irregular and/or overtime (compensatory) hours may be required to support operational requirements or contingencies or may be required to work hours outside of the normal duty day.
  • Participation in direct deposit is mandatory.

Qualifications

AREA OF CONSIDERATION: The areas of consideration for this position, Title 32 Excepted Service (32 U.S. Code ยง 709), will be in the following manner and sequence:

  • The FIRST area of consideration for this position will be all excepted permanent and indefinite temporary technicians within the ILNG.
  • The SECOND area of consideration will be all current Federal Employees.
  • The THIRD area of consideration will be all Federal re-employment eligible.
  • The FOURTH area of consideration will be applicants willing to become T32 Dual Status Technicians and gain ILNG membership.
  • The FIFTH area of consideration will U.S. Citizens.


Military Grades: Enlisted Only - Minimum rank of SrA. Maximum rank of TSgt.

GENERAL EXPERIENCE: MUST possess experience, education, or training which indicates performance of progressively responsible clerical, office, or other work that indicates ability to acquire the knowledge and skills needed to perform the duties of the position to be filled.

SPECIALIZED EXPERIENCE: GS-07 Level - MUST possess specialized experience which includes 12 months of experience equivalent to the next lower grade level. This may include, but is not limited to, experience in any of the following: (1) assisting in managing the Internal Management Control Program (IMPC); (2) assisting the Commander, Vice Commander, and Wing Inspector General with planning and coordination of the Command Inspection program; (3) overseeing the Officer Evaluation Program; (4) assisting in the development of policy letters which may require researching applicable directives from higher authority, to ensure conflict will not result from issuance of new policy; (5) supporting unit personnel in their computer needs by answering routine questions and bringing issues and problems to the attention of Information Management personnel; (6) maintaining and administering multiple support budgets for the Air Commander's Office; (7) processing orders for the section, to include preparation, publication, distribution and tracking of civilian and military travel orders; annual training, special training, and other orders, to include special authorizations; (8) maintaining personal contact with functional managers to discuss administrative practices and services, provide technical advice, and guidance, and recommend methods and procedures where necessary; (9) controlling access to the Air Commander and/or Vice Air Commander; (10) reviewing incoming correspondence, publications, regulations, and directives, which may affect the supervisor, or programs within the supervisor's purview; and/or (10) providing for control of all classified documents for the Command Administrative Office.
