Summary

This position is part of the National Archives and Records Administration, located at a field support office. The incumbent will provide managers and other staff with support to further advance the performance of local programs and operations. Specifically, the incumbent will assist and provide back-up to the Administrative Officer (AO) or Field Support Specialist (FSS) performing a variety of administrative management services and duties as direct assistance to management.

Duties

The following are the duties of this position at the GS-07. If you are selected at a lower grade level, you will have the opportunity to learn to perform all these duties, and will receive training to help you grow in this position.

As a MANAGEMENT ASSISTANT, you will:

  • Develop and implement new systems or administrative processes to ensure effectiveness and timely accomplishment of duties throughout the organization.
  • Prepare charts, graphs, or narrative summaries for management or program analysis reports from material provided by higher-level employees.
  • Use various software packages, with special emphasis on Microsoft Office (including Word, Excel, PowerPoint, and Access) to create, update, edit and revise a wide range of documents, presentations, automated records, databases, etc.
  • Assist AO/FSS in developing financial plans, budget estimates, narrative and statistical reports and other reports requested by national and regional management staff.
  • Assist in the preparation of all necessary forms for requisitions of supplies and services and manage inventory for supplies. May serve as a purchase card holder.
  • Initiate and perform a variety of personnel duties related to recruiting, selecting, security clearance requests, preparing SF-52 actions, etc.

The experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis. Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

SPECIALIZED EXPERIENCE: For the GS-06, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-05 grade level in the Federal service. Specialized Experience for this position includes:

Establishing and maintaining office files, to include handling various types of documents and databases in order to meet deadlines;
AND
Relaying Help Desk assistance and administrative problems;
AND
Using automated systems to make travel arrangements;
AND
Using office computer program, such as Excel, Word or PowerPoint, Google.


SPECIALIZED EXPERIENCE: For the GS-05, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-04 grade level in the Federal service. Specialized experience for this position includes:

Establishing and maintaining office files to include handling various types of documents and databases in order to meet deadlines;
AND
Using office computer program, such as Excel, Word, or PowerPoint; Google.

OR

You may substitute education for experience as follows: 4 years of study above high school from an accredited business, secretarial or technical school, junior college, or university;

OR

You may qualify with a combination of specialized experience and related education.

NOTE: Only education in excess of the first 60 semester hours (i.e., beyond the first year) of undergraduate education is creditable toward meeting the specialized experience requirement.

In addition to the above requirements, you must meet the following time-in-grade requirement, if applicable:
For the GS-06, you must have been at the GS-05level for 52 weeks.

Advancement to positions up to GS-5: Candidates may be advanced without time restriction to positions up to GS-05 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest non-temporary competitive appointment.
