Duties

Help

This is lead administrative and accounting work supporting the administrative office, financial operations, and system administration for the Senate Stationery Room. Work involves performing all accounts payable, accounts receivable, and general ledger reconciliation functions; assisting Keeper of Stationery with system support and accounting operations; assisting with the coordination of accounting and administrative activities; and providing senior-level assistance and guidance to office staff. Work is bound by Generally Accepted Accounting Principles (GAAP), Government Accountability Office (GAO); and Secretary of the Senate policies and procedures, but requires independent judgment in setting priorities and handling assignments. Qualifications

PHYSICAL DEMANDS AND WORKING ENVIRONMENT
Work is performed in an office environment with exposure to everyday risks and discomforts, and requires the use of normal safety precautions. Work requires frequent walking, standing, bending, and carrying items up to 25 pounds, as well as regular use of typical office equipment, software programs, and methods of communication such as a computer, email, telephone, and photocopier. Regular, predictable, and punctual attendance is required for performance of duties. Work also requires physical presence in the office, except as otherwise required by the Office of the Secretary.

MINIMUM QUALIFICATIONS
Work requires a high school degree (bachelor’s degree in accounting or a related field preferred), knowledge of audit theory and practice; with five  years of accounting and accounting-based software experience, experience in a customer service environment, and the following knowledge, skills, and abilities: Knowledge of accounting and bookkeeping practices and theory.

Knowledge of sound accounting principles, practices, and procedures, including GAAP and guidelines established by the GAO.

Knowledge of applicable accounting software required; experience with Great Plains preferred.

Strong knowledge of Microsoft Excel, Word,  and Outlook, including ability to work with formulas, logic, and pivot tables.

Knowledge of the capabilities, operating requirements, and program operation of computers, networks, and peripheral equipment.

Basic knowledge of the Senate as an institution preferred, with a desire and willingness to learn more about the legislative process, as well as the history and operation of the Senate.

Ability to prepare accurate accounting records and reports; ability to process and reconcile accounting data accurately and efficiently with attention to detail.

Ability to identify, report, and troubleshoot system problems with assistance from technical support.

Ability to operate calculator, cash register, inventory equipment, and various printers.

Ability to read, comprehend, and follow rules, regulations, procedures, functions, and instructions.

Ability to oversee and provide guidance to Stationery Room staff.

Ability to establish and maintain effective working relationships with staff and the public.

Ability to provide prompt and courteous customer service and resolve customer and vendor inquiries and concerns independently.

Ability to communicate effectively, both orally and in writing.
