Duties

Help

  • Receives all incoming shipments of supplies, furniture, and equipment. Verifies quantities received and inspects shipments for damage.
  • Coordinates the timely distribution of all Center postal, overnight, and special deliveries to the appropriate offices within the Center.
  • Serves as the designated resource on suspicious mail and packages.
  • Serves as the designated fire emergency warden.
  • Coordinates and assists in the transfer and delivery of supplies and equipment. Coordinates the preparation of the Center’s mailroom operations.
  • Requests and coordinate use of the Regan Building’s loading docks and assists with the security administration procedures at the Wilson Center.
  • Discusses Support Operations requirements and procedures to staff, scholars, and/or interns (i.e., supply requests, mailing, copy machines, etc.).
  • Assists the Director, Support Operations and other Support Operations staff in responding to customer inquiries and requests as they relate to support operations services.
  • Assists the Director, Support Operations with planning and assigning workspaces within the Wilson Center.
  • Assists with staff getting building ID cards
  • Coordinate with building engineers on all HVAC issues
  • Meeting with staff and discussing their catering needs and making suggestions for how best to make them happen. 
  • Answering staff questions and queries about food and beverage setup and delivery.
  • Working closely with the events department staff in setting up all tables and food service areas with chairs/tables/linens, making delivery arrangements, and requesting any general facility needs. 
  • Managing the delivery and pickup schedules of various catering vendors.

Qualifications

MINIMUM QUALIFICATIONS:

To be considered minimally qualified for this position, you must demonstrate that you have the required specialized experience for the respective grade level in which you are applying:

Specialized Experience:to qualify you must have at least one (1) year of specialized work experience equivalent to the GS-6 grade level in the Federal service (obtained either in the private or public sectors) 

Specialized experience must be equivalent to at least the next lower level in the normal line of progression that demonstrated knowledge of the methods and procedures for providing or performing a variety of functions and services applicable to the position to be filled; including ability to plan, organize, and control work involving diverse activities; ability to gain cooperation and coordinate the work of others; and skill in oral and written communications. Examples of qualifying specialized experience include:

  • Management analyst or technician or other work that included study, analysis, or evaluation leading to the development or improvement of managerial, administrative, or support operation policies, practices, and procedures.
  • Administrative assistant, budget administration, program analysis, or other work that demonstrated knowledge of an organization and its functions, and the ways in which support services can facilitate the work of the organization.
  • Office management experience that included responsibility for directing a variety of support services such as typing, mail processing, purchase of supplies and equipment, etc.
  • Secretarial work that required monitoring and coordinating administrative and processing work of subordinate elements through a system of internal procedures, controls, production, progress reporting, etc., to insure the efficient operation of an organization.
  • Military experience that included responsibility for directing a variety of support functions such as communications, property management, mail service, facilities and equipment maintenance, etc.

EDUCATION:

Graduate Education: Major study -- public administration, business administration, industrial engineering, industrial management, or other administrative or management fields related to the position to be filled. For some positions in this series graduate education may not provide the knowledge and skills needed to perform the duties of the position. Specialized experience may be required for such positions. One full academic year of graduate-level education is creditable for GS-7

Additional information

The work is primarily sedentary; although, requires moving around to offices and/or to similar areas for meeting to conduct human resources business. May require standing in conjunction with travel and attendance at meetings and conferences away from the worksite.

Work is performed in a typical office setting that is adequately lighted, heated and ventilated.
