As an ADMINISTRATIVE SUPPORT ASSISTANT (OA) (MILITARY) GS-0303-07, you will advise regarding the practical and technical aspects of office administration, to include budgeting, purchasing, supply, personnel, word processing, and files management; and performs staff support work in each of these areas. Update the office's supply sources; purchases supplies, equipment, and services through open market purchase by blanket agreement, cash or field purchase order, or similar methods; processes and tracks purchase documents. Collect data for the office-operating budget, reviews submissions for proper format and compliance with budget requirements and consolidates material into an annual office budget. Serve as the Records Management Coordinator for the organization. Collect maintenance and/or logistics program information from personnel, enters it into electronic or manual information systems, and searches for it as requested; schedules use and maintenance of computer equipment; enters and retrieves information from a variety of systems; and helps field office employees to use the various computer systems. Serve as the focal point for all personnel actions in the organization. Accomplish travel arrangements for the office to include travel and hotel reservations, travel orders, and coordinates visits. Prepare and monitor appointment/delegation letters and other additional appointments for all subordinate activities. Coordinate joint directorate inspections such as NGB, Army IG, and Army Audit Agencies, and other external agencies. Assist in the development of policy letters, which may require researching applicable directives from higher authority, to ensure that no conflict will result from issuance of new policy. Work requires general knowledge of the maintenance and/or logistics mission and functions of the office; and understanding of how the office's various administrative services relate to one another and to the office's mission. Contact are with co-workers and managers in the organization for which services are performed, and staff specialists at higher echelons. Knowledge of OA systems to use several types of software for various work needs. Perform other duties as assigned.

  • This is an excepted service position that requires membership in a compatible military assignment in the employing state's National Guard, required prior to the effective date of placement.
  • Selectee will be required to wear the military uniform.

  • Applicants who are not currently a member of the National Guard must be eligible for immediate membership and employment in the National Guard in the military grade listed in this announcement.

  • May be required to successfully complete a probationary period.
  • Participation in direct deposit is mandatory.
  • Must be able to obtain and maintain the appropriate security clearance of the position.
  • This position is covered by the Domestic Violence Misdemeanor Amendment (30 Sep 96) of the Gun Control Act (Lautenberg Amendment) of 1968.
  • Irregular and/or overtime (compensatory) hours may be required to support operational requirements or contingencies or may be required to work hours outside of the normal duty day.
  • Applicant must complete a Baseline Pre-Placement Screening for General Schedule positions within 30 days of appointment.
  • Acceptance of a Federal position may terminate Tricare Reserve Select eligibility.

Qualifications

Military Grades: E-4 through E-6

GENERAL EXPERIENCE: Experience, education, or training which indicates you performed progressively responsible clerical, office, or other work that indicates the ability to acquire knowledge and skills needed to perform the duties of this position.

SPECIALIZED EXPERIENCE: 12 months of experience or 1 year in the next lower grade that equipped you with the knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. This includes experience in the interpretation and application of regulations, procedures or laws; experience that provided a working knowledge of administrative functions; experience demonstrating the ability to advise lower graded employees; experience working independently and setting priorities with very little supervisory control.
