Summary

The Program Support Assistant (PSA) provides administrative support in the areas of mail processing, letter printing, troubleshooting issues, recommending improvements, updating policies and document imaging functions in accordance with federal regulations and local organizational policies, procedures, and Standard Operating Procedures (SOPs). The PSA also tracks Measures of Performance and Measures of Effectiveness through an operational quality metrics collection program.

Help

Major duties include but are not limited to the following:

Mail Processing

  • Provides support in all aspects of mail operations (mail distribution, equipment operation and maintenance, etc.)
  • Examines a variety of documents ranging from simple to complex and determines the appropriate file index
  • Processes different categories of incoming mail, Accountable, Certified and Registered, and ensures correct internal control are adhered to ensure correct chain-of-custody processes are met
  • Safeguards and secures all forms and correspondence
  • Assists in the development and implementation of Corrective Action Plans
  • Records incoming mail using tracking logs prior to distribution to ensure chain-of-custody of all mail is maintained
Document Printing and Mailing Functions
  • Provides support in all aspects of Print Center operations (receipt of batch print jobs, inventory management, etc.)
  • Operates modern and state of the art machinery in a safe and efficient manner
  • Contributes to invoice validation and to the weekly management report
  • Collects the required metrics, completes the weekly management reports, and submits reports to leadership
Document Imaging Functions
  • Provides support in all aspects of document imaging functions (document preparation, scanning, filing, etc.)
  • Manually scans/images all required documentation and prepares scanned packages for distribution and storage in a formalized system
  • Distributes scanned/imaged documents to the correct Member Services business line
  • Contributes to the Mail and Imaging stringent record keeping processes

Work Schedule: Monday-Friday, 8am-4:30pm

Physical Requirements: While portions of the work are sedentary, another portion requires prolonged standing, walking, stooping, bending, and lifting of heavy packages, mail bags, and supply boxes up to 50 pounds.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade, GS-04, in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include: (1) Providing support of mail operations (e.g. mail distribution, processing incoming and out outgoing mail, etc.) (2) Ensuring correspondence is delivered timely and accurately to the correct recipient(s). (3) Operating numerous mail, copy, scanning and other machines in the work area. (4) Tracking and retrieving information and data.(5) Safeguarding and securing forms and correspondence by ensuing strict adherence to federal regulations and internal controls.

  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year). One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience.
  • To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years by 60. Add the two percentages; the computed percentage of the requirements must be at least 100%.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
