The Program Support Assistant is assigned to the office of Deputy Chief of Staff (Med/Surg & Diagnostics), Leavenworth Division, and is responsible for a variety of daily operations and tasks in support of operations with Primary Care, Acute Care, Surgery & Diagnostics (Lab & Radiology) section of the Leavenworth division of the VA Eastern Kansas Health Care System.

Major duties include but are not limited to the following:

  • Maintains databases in order to organize and retrieve reports, prepare correspondence and numerical data for use in preparing status reports, briefings, and presentations.
  • Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes.
  • Independently performs a variety of administrative tasks with maintaining quality assurance monitors for assigned clinical sections under the Office of Deputy Chief of Staff (Med/Surg & Diagnostics).
  • Researches and provides background on subject matter of meetings without direction.
  • Attends meetings and conferences as assigned, prepares meeting minutes, and follows upon action items with appropriate staff members independently.
  • Provides support to the Residency Program Coordinator and serves as the back-up to the Residency Program Coordinator.
  • Instructs affiliates on information required for the credentialing letter based on regulations and policy.
  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
  • Resolves conflicting or inconsistent information found on initial searches.
  • Integrates several types of software. this includes using database or spreadsheet software to enter, revise, sort, calculate, and retrieve data for reports; uses graphics software to provide graphic symbols, electronically using personal computer that is networked or linked to other computers.

Work Schedule: 7:30am - 4:00pm, Monday - Friday

Physical Requirements: The work is primary sedentary although some slight physical effort may be required, such as light lifting and carrying (under 15 pounds), use of fingers, walking (2 hours per day), standing (2 hours per day), hearing (aid permitted).
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

GS-05

  • Specialized Experience: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: 1) Capable of updating databases accurately in order to organize and retrieve reports; 2) Prepare correspondence (e.g., status reports, briefings, & presentations) for publication; 3) Follow regulation and procedures accordingly to be in compliance; 4) Measure progress and effectiveness of operations against objectives; and 5) Operate a computer and/or automated systems (e.g., various Microsoft Office Programs). OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years of education above high school level. (NOTE: One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school) OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond.
GS-06
  • Specialized Experience: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: 1) Provide assessment of clinical training to identify areas of improvement; 2) Reviews documents to ensure they are authorized in accordance with regulations; 3) Reconcile accounts by reviewing invoices and statements; and 4) Verify compliance with contractual agreements.
There is no educational substitution for the GS-06 level.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
