Duties

Help

The incumbent serves as a clerical and administrative assistant for the Latin America Program and the Brazil Institute and is responsible for planning, executing and closing out the Program’s events, workshops, conferences, seminars, and meetings. As such, the incumbent:

  • Provides administrative, logistical, and research support for all Program activities and events.
  • Maintains the short and long-term Program timeline and calendar of events, with particular attention to grant-based deliverables and timelines.
  • Arranges travel and accommodations for the Program staff as well as the Program’s invitational travelers and scholars, preparing travel authorizations and vouchers to reimburse speakers and staff members for travel expenses.
  • Provides support for all aspects of the program, including planning and executing associated events, virtual and telephonic meetings, handling all the pre-arrival preparations like travel logistics, liaising with communications staff on pre-arrival promotion and editing written materials, and overseeing the scholarship competition process.
  • Assists the Program Associate with tracking expenditures for Program accounts and reconciling those accounts with reports provided by the Wilson Center’s Financial Management Office.
  • Monitors and tracks the financial management for travel related to grants and submitting grant-related expenses to the shared tracking system in coordination with the Program Associate. 
  • Routinely drafts correspondence for the Program Director’s signature. 
  • Drafts and sends invitations for meetings and events via email, books rooms and prepares all materials for meetings and events, including programs, signs, tent-cards, and any other necessary arrangements to ensure overall success of the meetings.
  • Coordinates with Wilson Center Audio Visual and External Relations to communicate special requirements for meetings, and ensures inclusion of meetings on the Wilson Center’s strategic planning calendar.
  • Drafts and prepares a variety of correspondence, talking points, reports, forms, and other materials related to Project activities.
  • Organizes, maintains and regularly updates all files on all events, meetings, contacts, ongoing projects, and funding sources.
  • Maintains and updates the Program’s contact and grant-tracking databases.
  • Assists with the production of meeting/conference reports, grant reports, impact assessments, briefing notes, grant applications and concept notes, and publications.
  • Assists with the recruitment, orientation, supervision, and out-processing of interns.
  • Assists with the coordination and preparation of the Director’s travel-related requirements.
  • Assists with the maintenance and updating of the Programs’ webpage, especially as it pertains to events.
  • Helps with the organization and maintenance of Program archives. Gathers narrative and statistical data to prepare various reports to funders.
  • Performs research related to program activities and event topics.
  • Conducts specialized research on Brazil and related topics as required for the planning and coordination of programmatic activities.

Qualifications

MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you meet the required specialized experience for the respective grade level in which you are applying:

Must possess fluency (Read/Write/Speak) in Portuguese at a full professional proficiency level (you understand the language well enough to contribute greatly in the workplace, though you may exhibit an obvious accent and need help with advanced terminology.)

IS-7: Applicants must have at least one full-time year (12-months) of specialized experience at, or equivalent to, the IS-6 grade level performing most of the following duties and responsibilities: 

  • Experience focused in areas such as international economics, international relations or political science.
  • Organizational and research skills to identify, analyze, and recommend solutions to programmatic research initiatives.
  • Knowledge of logistical aspects of event management and logistics coordination (planning, implementing, and closing-out events).
  • Personal computer skills including the ability to use a variety of software packages, especially Microsoft Word, Outlook, Excel, and PowerPoint, and financial tracking software to perform/automate office work.
  • Knowledge of grammar, punctuation, spelling, including the ability to proofread in order to draft a variety of documents, reports, and summaries for a general audience.
  • Good accounting, grant management, and budgetary skills.
  • Practical knowledge in cultivating partnerships with internal and external partners.
