This position is assigned to the Nonappropriated Fund (NAF) Financial Management Branch (N948); Fleet and Family Readiness Support Services (N94); Commander, Navy Installations Command (CNIC); Millington, TN. Incumbent serves as a Headquarters (HQ) Management Assistant providing support to the Financial Management Branch Head and the various section heads within the Branch.

Duties

Help

Duties include but are not limited to:

  • Assists the Branch Head, Section Heads, and other members of the Financial Management Branch in accomplishing their daily goals and tasks.
  • Arranges travel schedule and itineraries, and makes travel reservations. Prepares travel orders and assigns required per diem rates.
  • Receives incoming telephone calls, provides information regarding normal operational matters of the Branch, and refers other questions/inquiries to the appropriate personnel in the Branch or CNIC N9 organizations.
  • Ensures all NAF purchase card records are properly maintained. Provides accurate descriptions for all purchase transactions in JP Morgan PaymentNet.
  • Scans/alters photos; makes PDF files; and burns CDs of documents, photos, and other info for storage or to send to other staff members.
  • Inputs branch employees' leave data (e.g., annual, sick) into Kronos Workforce, prints and checks Kronos report for accuracy, submits to Branch Head for approval.
  • Receives correspondence and routes it to the appropriate personnel in the Branch or to others outside the Branch as needed.
  • Reviews all correspondence prepared for signature of the Branch Head or higher officials for grammatical, procedural, and format accuracy, one clarity of expressions; and compliance with CNIC Fleet and Family Readiness policies and practices.
  • Maintains all general branch files consisting of cumulative reports, letters, notices, instructions, etc.; and screens and purges files for obsolete or irrelevant material as necessary.
  • Maintains a thorough knowledge of the tasker tracking system used by CNIC at any given time and acts as primary N948 point of contact (POC).
  • Provides support to NAF Travel Section to include: providing travel order numbers; printing/assembling and date stamping travel claims for processing; and notifying travelers of missing receipts, etc., necessary to process travel claims.
  • Serves as CNIC N94 POC for office supplies responsible for ordering, stocking, organizing, and issuing supplies for the Branch and all CNIC N94 staff.
  • Serves as Refund Custodian for NEX snack machines located in Building 457.

Qualifications

  • Knowledge of and skill in applying administrative principles, practices, methods, and/or concepts to perform a variety of administrative support related assignments in the Branch.
  • Knowledge of formats, punctuation, grammar, and clerical steps to process and prepare correspondence and documents in an accurate manner.
  • Knowledge of CNIC's organizational structure, functions, and mission.
  • Knowledge of SECNAVINST P5212.5B, Parts I and II (Disposal of Navy and Marine Corps Records).
  • Knowledge of government travel claims processes/procedures.
  • Knowledge of SAP software.
  • Skill in the use of Microsoft Office Programs (e.g., Word, Excel, Power Point, Outlook).
  • Skill in the use and operation of KRONOS.
  • Skill in the use of JP Morgan PaymentNet.
  • Skill in the use of office support equipment/machines (e.g., computers, scanners, printers, fax machines, calculators, CD burner).
  • Ability to analyze data/information and interpret financial and operating statements.
  • Ability to maintain NAF purchase card records.
  • Ability to use tact, sound judgment, and initiative; and work well with other personnel.
  • Ability to communicate effectively both orally and in writing.
