Duties

Help

The Administrative Officer (Hospital Manager) works under general supervision of a departmental supervisor, and alongside clinical veterinarians and pathologists. The supervisor explains desired objectives and where to draw upon required information and provides deadlines and options. 

In this position, you will:

  • Ensure Veterinary Hospital is maintained tour ready and is meet regulatory compliance, and standards.
  • Serve as Safety Officer and Pest Management contact for non-animal areas.
  • Maintain weekly, monthly, semi-annual, and annual reports by ensuring submission of reports are timely and accurate.
  • Conduct research of vendors for repairs and equipment by getting price quotes and certificates of insurance of service contracts.
  • Maintain a purchase card and process purchase orders and completes the necessary training required.
  • Order supplies and coordinates payment of outside laboratories.
  • Manage departmental funds in accordance with fiscal, procurement and travel regulations.
  • Responsible for overseeing storage and filing of all medical records by ensuring compliance of regulations.
  • Maintain permits and licenses for staff and facilities to include Standard Operating Procedures.
  • Track all equipment and vehicle repairs and approves repair when required.
  • Manages minor building repairs, renovations such as painting, moving furniture.
  • Maintains diagnostic lab partnerships by working with external labs, sample processing, testing, to include the availability and pricing.
  • Support pathologists in clerical, administrative, scientific tasks.
  • Serve as Contracting Officer’s Technical Representative (COTR) for purchase orders.
  • Maintain inventory of supplies, equipment, contracts, and warranties.
  • Maintain a purchase card and process purchase orders and completes the necessary training required.
  • Ensures expenditures do not exceed allocations of funds and maintain record for purpose of account reconciliation and expense management.
  • Serves as Data and Health Records Manager overseeing all staff in the medical records area.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-09 level in the Federal Service. For this position, specialized experience is defined as overseeing operational support, administrative support, facilities management, maintenance, departmental safety, property management, budget, equipment acquisition and supplies, procurement and medical records management of Veterinary Hospital and facilities.  

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.
