Duties

Help

Incumbent serves as the Rooms Director. Through subordinate managers and supervisors, is responsible for the overall management and direction of the Rooms Division to include Front Office operations, involving supervision of front desk, reservation staff, bellmen, and Housekeeping operations, involving housekeepers, janitors, laundry and dry cleaning operators.

PROGRAM MANAGEMENT

  • Responsible for overall operation of the Rooms Division, involving daily management of all hotel guest rooms, front office spaces and services.
  • Responsible for oversight of the overall front office operation, coordinating reservations, front desk service, bell services ensuring they are aligned to meet the mission.
  • Responsible for oversight of the daily housekeeping, janitorial and laundry of guest room, dining room, party, and conference room linens; and for providing daily laundry and dry cleaning services to patrons and employees.
  • Ensures Supervisory team is properly scheduled and located to ensure that staff have the tools to be successful.
  • Prioritizes and delivers reservations and services to achieve the greatest positive impact on guests, staff and the organizations financial obligation.
  • Executes an extensive internal control program to safeguard funds and assets.
  • Ensures the adherence to administrative, sanitation, safety, security and other regulations.
  • Reviews hotel activity, social function schedules, guest room reservations, daily room status and other reports.
  • Reviews and analyzes key performance indicators for the division and able to brief monthly to the General Manager.
  • Prepares overall planning for personnel, programming, profits and processes.
  • Oversees protocol contact with the three Service Commanders in Japan, relative to distinguished visitor hotel accommodations and services.
  • Receives, evaluates, and resolves complaints registered by guests promptly.

RESOURCE MANAGEMENT
  • Incumbent directly supervises Front Office, Reservations Managers as well as Housekeeping, Laundry, Janitorial Supervisors and indirectly supervises over 75 employees engaged in various front office, housekeeping, custodial, laundry and dry cleaning services.
  • Develops and executes annual operating budgets.
  • Seeks ways to improve productivity and conserve manpower resources.
  • Creates a Sales & Marketing plan to optimize revenues, forecasting, with business metrics and action taken to increase occupancy and participation.
  • Regularly reviews reservation system, eligibility, pricing, to stay current to meet the demand of both DoD and Hotel business.
  • Seeks ways to become a more effective and efficient workforce by optimizing online tools and reservations.
  • Cross-promotes other hotel functions (Food and Beverage, Recreation) to improve guest services and overall business.
  • Conducts Divisional staff meetings, approves and disapproves leave, resolves grievances, takes or recommends disciplinary action and supports and implements provisions of the EEO program.
  • Ensures all personnel actions are free from discrimination or any other non-merit factor.
  • Plans work to be accomplished by subordinates; sets immediate priorities and deadlines; prepares schedule for completion of work; assigns work to subordinates based on daily, weekly and long-range planning.
  • Evaluates staff developmental needs, provides training plans to broaden employee skills and recommends formal training as needed.
  • Establishes performance standards and standard procedures for each operation.
  • Develops and adjusts employees' work schedules to ensure that sufficient employees and materials are available to meet operational requirements at all times.
FACILITY MANAGEMENT
  • Regularly inspects room facilities, customer and employee areas for cleanliness and safety, to see that lighting, plumbing, heating/cooling, audio/video and IT services, overall aesthetics etc. are in good working order and that electrical hazards, and other deficiencies are eliminated or reported.
  • Maintains current knowledge on the condition and status of each hotel guest room and all public rooms.
  • Participates in hotel facility renovation, modification and repair planning.
  • Coordinates with in-house and other contractors for time-phase work scheduling, and schedules staff accordingly.
  • Performs in-process monitoring of repair/construction projects, verification and reporting of completed work.
  • Reviews availability of new equipment and materials for efficient and economical use.
  • Responsible for collaborating and coordinating central warehousing of goods for departments and divisions.
  • Ensures ADA compliance.

Qualifications

To qualify for this position, candidates must the qualification identified below. Candidates qualifying for the position must provide sufficient information to demonstrate how these requirements are met.

A minimum of 3 years' experience with progressive levels of responsibility in a hotel environment,
OR
Successful completion of a bachelor's degree from an accredited college or university with a major in a Hospitality field.

Additional information

Employees (and family members) who require medical or dental care in the overseas location will be responsible for obtaining and paying for such care. Access for civilian employees and their families to military medical and dental treatment facilities is on a space-available and reimbursable basis only.

  • Selectees initially recruited from the United States or who are already on a Transportation Agreement will be entitled to transportation and moving costs for themselves and their family members. Household goods may be shipped and a housing allowance is paid to cover monthly housing and utility costs.
  • Compensation includes base pay, a Post Allowance which is a non-taxable (federal) allowance based on the Japanese yen exchange rate, and a Living Quarters Allowance sufficient to pay for a housing unit within close proximity of the workplace. You may also ship and/or store your household goods. These and other benefits are available to those personnel hired on an overseas transportation agreement.
  • Dependent children in grades K through 12 accompanying the employee may be eligible for enrollment in DoDEA schools or an education allowance to cover tuition at other schools.
