  • Responsibilities listed are at the full performance level.
  • Requisition office supplies, equipment, forms, printing services, maintenance services, etc. as required.
  • Distribute office supplies and special order items, reconciles purchases within the appropriate database in a timely manner.
  • Maintain procurement/purchasing files in accordance with regulations and agency directives and ensures procurement documentation is signed and attached.
  • Receive visitors and handles calls of a routine nature, such as locations of key personnel and recreation opportunities.
  • Enter data into existing or newly developed databases using work center software systems.
  • Maintain the units files in hardcopy and/or electronic format as required.
  • Prepare audits and transmits time and attendance reports for employees in the unit.
  • Utilize database or spreadsheet software to enter, revise, sort, calculate, and retrieve data for reports.
  • Review outgoing correspondence for grammatical accuracy and conformance with policy.
  • Examine documents and data for completeness, discrepancies and other special requirements.
  • Accurately type correspondence, reports, or similar materials from handwritten or electronic drafts using a personal computer (PC) or similar equipment and word processing software.

Qualifications

Specialized Experience Requirement: For the GS-04: Applicants must have one year of progressively responsible clerical, office, or other work which provided the knowledge and skills needed to perform the duties of the position being filled. Examples of such experience are defined as one or more of the following: Clerical, office, or other work such as receiving and sorting incoming and outgoing mail; Using automated software to produce written documents; Maintaining office files; Answering phone calls in an office setting; OR an associate's degree or two years of successfully completed education above high school; OR a combination of successfully completed post-high school education and experience. The education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.

For the GS-05: Applicants must have of specialized experience equivalent to at least the GS-04 level. Examples of specialized experience are defined as one or more of the following: Greeting visitors and responding to phone and written inquiries personally or referring to other staff as appropriate; Maintaining written records and files in electronic and/or hardcopy filing systems; Using word processing software and printing equipment to create, copy, edit, store, retrieve, and print standardized documents ensuring correct grammar, spelling, punctuation, and format; OR a bachelor's degree or 4 years of successfully completed education above high school; OR combinations of successfully completed post-high school education (in excess of the first 60 semester hours) and specialized experience. The education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

You will be further evaluated against criteria for placement in the Quality category. This evaluation is based on the level of your experience, education, and/or training as determined by your responses to the Assessment Questionnaire.
