Summary

As an Administrative Support Specialist, you will provide analysis and administrative support for assigned program areas, operations and activities within the Management & Program Support Services Division.

Location of position: Federal Acquisition Service (FAS) - Office of Travel, Transportation & Logistics - Management & Program Support Services (QM0A).

Help

Duties include but are not limited to:

  • Provide Administrative support to the organization.
  • With guidance, manage correspondence, records management, leave administration, communication, maintain office supplies, coordinate new employee processes, provide travel assistance and coordination for management.
  • Assists in conducting analytical studies that are related to the programs, activities, and operations.
  • Assists to identify operational problems, evaluate alternative solutions, and recommend appropriate action.
  • Assists in applying qualitative and/or quantitative methods to assess and improve the effectiveness and management of assigned programs, processes, projects and activities.

To qualify, you must have at least one year of specialized experience equivalent to the GS-05 level or higher in the Federal service. 

Specialized experience is defined as:

  • Administering and monitoring administrative, clerical, and internal management support functions for an organization;
  • Providing customer service to a wide array of internal and external customers;
  • Using spreadsheet software and word processing software to manage information, develop reports and presentations;
  • Developing and maintaining tracking systems; and
  • Coordinating multiple priorities for senior level managers to ensure deadlines are met.

OR

Possess one full year of graduate level education (18 Semester hours or the equivalent).

OR

Meet the requirements for Superior Academic Achievement -


Superior Academic Achievement (SAA) at the baccalaureate level is fully qualifying at the GS-7 level.  To claim SAA, submit documentation of one of the following:

1.      Class standing -- You must be in the upper third of your graduating class in the college, university, or major subdivision, such as the College of Liberal Arts or the School of Business Administration, based on completed courses.

2.      Grade-point average (rounded to one decimal point) of:

    1. 3.0 or higher out of a possible 4.0 ("B" or better) as recorded on your official transcript, or as computed based on 4 years of education, or as computed based on courses completed during the final 2 years of your curriculum; or
    2. 3.5 or higher out of a possible 4.0 ("B+" or better) based on the average of the required courses completed in your major field or the required courses in your major field completed during your final 2 years of the curriculum.

3.      Election to membership in a national scholastic honor society in one of the national scholastic honor societies listed by the Association of College Honor Societies.

Bargaining Unit Status: This position is eligible for the bargaining unit.

How you will be evaluated

You will be evaluated for this job based on how well you meet the qualifications above.

You will be scored on the questions you answer during the application process, which will measure your possession of the following competencies or knowledge, skills, and abilities.  Your responses to these questions must be supported by your resume or your score may be lowered.  

  • Knowledge of the Freedom of Information Act (FOIA), Federal Government ethics, records and document management and substantive programs sufficient to furnish information, respond to, or direct inquiries.
  • Ability to communicate verbally and in writing to explain administrative procedures and answer procedural questions.
  • Ability to work on procedural assignments. Organizational skills and attention to detail are required.
  • Ability to plan, schedule, and conduct projects and studies to evaluate and recommend ways to improve the effectiveness of work operations.
  • Ability to apply analytical methods as well as gather, review, and draw conclusions from data and findings.
  • Practical knowledge of established techniques for analyzing and measuring the effectiveness and efficiency of administrative programs along with basic knowledge of the mission, organization and work processes.
  • Ability to obtain, compile, analyze, and summarize information and quantitative data.
