Summary

This position is established to provide and obtain and/or obtaining a variety of management services essential to the direction and efficient operation of the Office of Environment and Compliance. This includes, but is not limited to, travel coordination, website design and maintenance, financial expenditure entry and tracking, document formatting and proofreading, recurring reports preparation, presentation preparation, spreadsheet development and maintenance and office supply management.

Duties

Help

As an Administrative Officer, you will:

  • Assists the Associate Administrator and the Office Directors in the areas of environmental protection, safety, and security.
  • Serve as the Office of Environment and Compliance's internal and external focal point and lead for all administrative matters. Recommend administrative needs of the office as a whole and each Office within it.
  • Regularly monitor the Agency website to ensure the Office of Environmental and Compliance material is current, well organized, and informative. Make recommendations to the AA and Office Directors regarding updates.  Coordinate with Agency public affairs and information technology personnel as necessary to publish revised content.
  • Provide assistance to the Office of Environmental and Compliance personnel in using Federal and Agency IT systems such as travel booking and claims processing programs, federal personnel accounting software such as FPPS, timekeeping software such as Castle, and others.
  • Maintain a tracking system showing Office personnel's anticipated presence in the office or absence on travel, leave, or for other reasons.
  • Prepare correspondence and correspondence packages for the AA and Office Directors, ensuring proper format, good organization, proper grammar, and correct spelling while ensuring compliance with MARAD procedures for correspondence processing.

This position is designed to perform responsibilities associated with a variety of office management services essential to the efficient operation of the Office of the Associate Administrator for Environment and Compliance. The ideal candidate should have experience in office administration and personnel management, be detail-oriented, be able to collaborate in a team environment, be self-motivated, and possess time management skills.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.

  • TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade in the competitive or excepted service in the executive branch to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.
  • DEU REQUIREMENTS: Applicants selected under delegated examining procedures may be required to successfully complete a one-year probationary period (unless already completed).

Qualifications

To meet the minimum qualifications for this position, you must, (1) provide a copy of transcripts for verification, AND (2) meet either the education or experience qualifications for the grade at which you are requesting consideration.

To qualify for the GS-09 on Experience, you must have at least one year of experience equal or equivalent to the GS-07 it must include:

  • Experience formatting and proofreading documents, preparing reports and presentations, spreadsheet development and maintenance, office supply management, travel coordination, and financial expenditure entry and tracking.

To qualify for the GS-09 on Education alone, you must have:

2 years of progressively higher level graduate education leading to a master's degree or have been awarded a master's or equivalent graduate degree.

You can also qualify based on a combination of graduate education and experience. This must be fully supported by your resume and transcripts, provided with your application.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  1. Knowledge of the methods and procedures, mission requirements, program goals and objectives, regulations, pertinent laws, policies, and precedent which govern environmental operations sufficient to evaluate and recommend ways to improve administrative management services.
  2. Skill in the use of software, (windows, word processing, spreadsheet, database, email, project management, etc.) sufficient to effectively use standard personal computer-based software programs and ensure continued adaptability in using new software and information programs as they evolve.
