Duties

This position serves as a Management Support Specialist at the Museum Conservation Institute (MCI), with responsibility for performing a full range of activities associated with Human Resources support, processing procurement requests, purchase card transactions, travel management, budget formulation and execution, funds management and other financial administrative tasks. 

In this position, you will:

1. Coordinates all aspects of personnel-related activities between MCI and SI’s Office of Human Resources, including advising and assisting supervisors and other staff in HR matters and preparation of required paperwork, entering personnel actions, files and reports.

2. Oversees the orientation of new employees as well as fellows, interns, visiting researchers and contractors as necessary.

3. Serves as a personal and confidential assistant to the Director. Reviews and keeps abreast of all correspondence and email directed to the Director. Identifies and resolves issues or problems of a procedural nature including administrative practices and procedures common to the MCI such as channels of communication, routing of correspondence, and filing systems.

4. Makes travel arrangements, develops travel itineraries, and schedules and books all reservations for all travel accommodations for the Director’s office. Prepares and processes travel requests, authorizations, and vouchers in accordance with Smithsonian policies and procedures.

5. Assists with the procurement and funds management needs of the unit, in compliance with federal, SI and MCI policies and procedures.

Qualifications

At the GS-11 Grade Level:

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-9 level in the Federal Service.  For this position, specialized experience is defined as: directly supporting human resources, travel and procurement activities and responsibilities and providing professional support and assistance on a full range of administrative duties.

OR

Education: Completion of a Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree if directly related.

OR

A combination of specialized experience and related Ph.D. level education as described above.

  2. Knowledge of management principles, organizational theory, and established techniques of analysis and evaluation.

  3. Knowledge and skill in the application of related federal and Smithsonian rules and regulations for domestic and foreign travel, purchase and travel cards, reallocations, and cash advances; all forms and procedures for processing accounting and contracting transactions.
