Duties

Help

As the DEAI Program Coordinator, you will:

  • Maintain the Division Head’s calendar of meetings and appointments and ensures that relevant meeting materials are prepared and distributed, or solicited and received, in advance. 
  • Schedule virtual and in-person meetings on behalf of the Division, often involving large numbers of attendees and related schedule complexities; reserves meeting spaces and equipment, liaising with facilities, events, IT, and other staff as required.
  • Document and refines administrative systems and procedures of the Division; make recommendations for establishing, clarifying, and improving procedures.
  • Create and maintain electronic and hard copy files for the Division, both general and confidential, including EEO complaint documentation and routine business related to Division functions.
  • Handle telephone and office reception, escorts visitors as necessary. 
  • Open and sort mail according to type and priority, with special attention to preserving confidentiality of EEO-related correspondence.
  • Coordinate Division Head’s review and approval of materials drafted by others; tracks progress of materials circulated by Division Head for others’ review and approval. 
  • Communicate independently on routine matters and on scheduling, procurement, and travel transactions. 
  • Communicate at direction of Division Head and other Division staff on matters of more complex, sensitive, or confidential nature. 
  • Maintain close contact with the Division Head while they are out of the office on official business or leave, apprising them of developments and exercising judgment as to which matters require immediate attention.  In consultation with Division Head and EEO Director, develops and maintains confidential EEO case tracking system to facilitate case processing and ensure timely and accurate reporting.
  • Manage budget and financial operations for the Division.
  • Work with Division Head and EEO Officer to develop Division’s annual budget submissions, recommending priorities and changes and drafting required explanations and justifications for Division Head review. 
  • Use financial management software to monitor the Division's financial expenditures, ensure accurate coding, reallocate expenditures as necessary, perform budget projections and year-end tracking, and ensure spending remains within budget limits.
  • Monitors contractors for compliance with contract terms, timing and status of invoices, and regulations.
  • Serve as Contracting Officer’s Representative on Division contracts. Serves as the Division’s purchase card holder, purchasing materials to meet department needs consistent with available resources and priorities.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-301-9/11.

GS-11: Candidates must possess at least one year of specialized experience, equivalent in responsibility to the GS-9 level in the Federal service, supporting a diversity and inclusion function for a large organization or a Ph.D./doctoral degree or an LL.M. degree or 3 years of progressively higher-level graduate education leading to a Ph.D./doctoral/LL.M. degree.

GS-9: Candidates must possess at least one year of specialized experience, equivalent in responsibility to the GS-7 level in the Federal service, administering any type of office or a Master’s degree or a J.D./LL.B. degree or 2 years of progressively higher-level graduate education leading to a Master’s/LL.B./J.D. degree

  1. Office Administration – Ability to document and record information, organize schedules, and perform routine work-group support assignments.
  2. Communication – Skill in both oral and written communication, for the use of coordination, reporting and delivering information
  3. Finance – Knowledge of federal financial principles like budgeting, procurement and contracting.
