Duties

Help

The incumbent delivers library information and service to library readers:

  • Explain Reader Services procedures and policies, including those governing circulation and use of library materials in all formats.
  • Assist readers with identifying, locating, and handling library materials.
  • Assist readers with using library photocopiers, printers, and scanners.
  • Maintain library circulation files and records in electronic and paper form and compile reports.
  • Maintain patron records for National Gallery staff.
  • Create outside reader registrations.
  • Perform system charges, discharges, renewals, reserves, and recalls.
  • Create special loans. (one-day, periodicals, materials authorized to leave the library)
  • Care for special materials (rare, fragile, oversize, vertical files).
  • Assist with the maintenance of the library’s collections.
  • Retrieve and re-shelve library materials in the stacks and in other special locations.
  • Sort (by classification number) books ready for re-shelving.
  • Perform shelf-reading to verify correct shelf order.
  • Move and shift volumes as needed to maintain order and accessibility.
  • Conduct inventories in the stacks and National Gallery office.
  • Conduct detailed and systematic searches for missing materials and prepares related reports.
  • Check and create spine labels for books and journals.
  • Check bibliographic citations in the library’s online and printed catalogs to identify and locate holdings.
  • Monitor supplies and equipment used for circulation operations and in the reading rooms and submit requests to acquire as needed.
  • Participate in special projects like reclassification of auction catalogs, presentations for special events, and displays.

Physical requirements: The work is physically demanding in that the employee is required to lift, climb, and stoop in shelving and retrieving books, some of which may be heavy. A good deal of the workday is spent walking and standing since the books are shelved on seven library floors.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-1411-6. 


This requires at least one year of specialized experience equivalent to the GS-5 level in the Federal service. Specialized experience is defined as experience providing information about bibliographic materials and circulation services in a research environment and maintaining the order and physical integrity of a bibliographic collection.

Those applicants who meet the minimum qualification requirements will be evaluated against these factors to determine the best-qualified candidates.

  1. Ability to respond effectively and efficiently to requests from library users with a wide range of research needs while maintaining a professional and personable manner.
  2. Knowledge of standard procedures supporting library reader services or book information services.
  3. Ability to shelve, retrieve, and maintain order in a classified library or other bibliographic collection.
  4. Skill in interpreting bibliographic descriptions.
  5. Reading knowledge of at least one European language other than English (French, German, Italian or Spanish).
  6. Ability to maintain circulation transaction files accurately.

Examples of qualifying unpaid experience may include: volunteer work done through National Service programs (such as Peace Corps and AmeriCorps); as well as work for other community-based philanthropic and social organizations. Volunteer work helps build critical competencies, knowledge, and skills; and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
