Duties

Help

The Administrative Assistant will provide a variety of financial, procurement and clerical support services to one or more SI units. This work encompasses financial management, budget administration, procurement and/or human resources functions, while also aiding supervisors and managers with regulatory procedures and requirements.

In this position, you will:

  1. Order a variety of good and service using the agency’s procurement system.
  2. Provide staff guidance and recommendation around new/established requirements, regulation and procedure related to administrative operation. 
  3. Prepare and track form for billing, receiving, disbursing, and/or transferring fund, follow up on transaction to ensure completion.
  4. Prepare, review, certify and approve travel authorization/voucher in the travel system. 
  5. Prepare or review outgoing correspondence for grammar, format and correction.

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-05 level in the Federal Service.  For this position, specialized experience is defined as performing standard office practices, including managing files, creating purchase orders, serving as a Purchase Card holder, managing time and attendance, travel arrangements and other clerical functions; managing calendar (s) for supervisors and managers, including program-wide calendars such as programs, leave, meetings and projects and assist with gathering information from systems or report to prepare internal reports, and/or budget data.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education: 1 full year of graduate level education or superior academic achievement.

You will be evaluated for this job based on how well you meet the qualifications above.

  • Skill in providing procurement functions for an organization in accordance with established policies.
  • Knowledge of applying administrative policies and procedures to operations.
  • Skill in providing budget and financial tracking to a major department or activity.
  • Skill in providing administration and support for travel for a major department or activity.
  • Skill in communicating in writing to create procedures or correspondence while maintaining a high level of customer service.
