Summary

The Primary Care Advanced Medical Support Assistant (AMSA) position is an Advanced Level MSA and works collaboratively in an interdisciplinary coordinated care model known as PACT or Patient Aligned Care Team.

Major Duties:

  • Ensures outpatient clinic appointments are scheduled using a "Desired Date" that reflects the Clinically Indicated Date (CID) correctly, following the business rules outlined in local VHA memo 00-45 Clinic Scheduling Procedure, and Scheduling Directive 1230.
  • Will appropriately utilize the placement of patients on the Recall Reminder List for those patients who request to make an appointment at a future time. These activities must be done at the time of check out.
  • Will monitor clinic(s) Recall Reminder List including the Delinquent Reminder List.
  • Ensures Consult Appointments are scheduled using the Clinically Indicated Date (CID) correctly and documenting attempts to contact patients as an administrative note in CPRS.
  • Collects and verifies patient's demographic information on all patients in person the day of the appointment, before check in.
  • Ensures that all patients listed on the Insurance Capture Buffer [ICB] daily verification list have had a buffer entry created.
  • Ensures that admin encounters for face-to-face appointments {i.e. - No Shows and Cancellations per clinic} are closed out at the end of the day.
  • Will protect printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, Federal regulations, VA statutes and policy, and VHA policy.
  • Will ensure appropriate verification and proper completion of all Disposition orders entered by PACT clinical members by the close of business each day.
  • Attends and participates in all team meetings, as well as follows up on administrative items tasked to the AMSA. This includes sharing information and collaborating with the medical team to assure continuity of care.
  • Will ensure clinic set-up for the next day is accomplished prior to the end of the duty day.
  • Will ensure work area is maintained in a neat, clean and professional manner.
  • Other related duties as assigned.
Work Schedule: Monday - Friday, 8:00 am to 4:30 pm, may include one Saturday per year on a rotating schedule
Telework: Limited telework may be available based on supervisor approval

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements:

  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Experience or Education
    • Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR
    • Education: One year above high school (transcript is required with application); OR
    • Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.(transcript is required with application);
  • English Language Proficiency: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: To be eligible for the GS-06 Advanced Medical Support Assistant, you must have:
  • Experience. One year of experience equivalent to the [GS-5] grade level. AND
  • Demonstrated Knowledge, Skills, and Abilities: In addition to the experience above, the candidate must demonstrate all of the following KSAs:
    • i. Ability to collaborate [and] communicate [with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.]ii. [Ability to independently] set priorities and organize [ ] work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
      iii. Ability to communicate tactfully and effectively, [electronically, by phone, in person], and in writing, [with internal and external customers]. This may include preparing reports in various formats and presenting data to various organizational levels, [as well as resolving patient concerns].
      iv. Advanced knowledge of the technical health care process [(including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals)] as it relates to access to care.
      v. Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care [administrative functions] to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
      vi. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.

Physical Requirements: The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
