Duties

Help

As the Special Assistant, you will ensure successful operation of the Director's Office and that the Director manages and meets all their priorities and obligations. 

The duties of this position include, but are not limited to, the following:

  • Manages the Director's calendar by, accepting, declining, rescheduling, or arranging alternate representation for meetings, speaking engagements, ceremonies, travel, and other obligations.
  • Monitors and facilitates all communications, including regular and electronic mail, telephone calls, and personal visits. Reviews proposals, inquiries, recommendations, and other communications; gathers, prepares, and analyzes written and verbal communication for relevance and/or assures that background information is provided.
  • Manages the Director’s Office by greeting staff and guests in person and escorting external guests to the office.

  • Arranges and prepares agendas for a variety of meetings, including the regular staff meetings, Senior Leadership Team meetings, and assists in organizing NMAH Advisory Board meetings in collaboration with the NMAH Advancement staff.
  • Provides advice and recommendation on matters relative to the coordination, integration, and synchronization of events and activities personally affecting and involving the Director.
  • Evaluates and provides recommendations to resolve current problematic conditions or situations in administrative processes, and to prevent potential for future problems.

Qualifications

Experience: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-11 level in the Federal Service.  For this position, specialized experience is defined as  supporting an executive in the areas of managing calendars and travel; responding to inquiries, concerns, and requests from internal and external customers; attending and participating in meetings in a representational capacity; and managing office functions and administration.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

You will be evaluated for this job based on how well you meet the qualifications above.

Your application will be evaluated first for the basic qualifications described above.  The applications that meet the basic qualifications will be evaluated further against the following criteria:

  1. Ability to coordinate a wide variety of activities relating to the programs of the Museum.
  2. Ability to coordinate and track the flow of incoming and outgoing correspondence.
  3. Ability to plan and coordinate a wide variety of activities relating to the programs of the Museum, including locating and assembling information.
  4. Skill in customer service to anticipate and respond to needs of the Director and to support the collaborations between the Director and senior staff, senior SI management and Senior Leadership Team.
