Duties

Help

As a Executive Assistant, you will:

  • Perform administrative tasks and other duties as assigned, independently coordinating with other administrative staff to ensure completion of office administrative work.
  • Make prompt and accurate travel arrangements, including authorizations, reservations, and voucher preparation and approval process; serves as contact for information on travel system and fees.
  • Receive and processes workflow into, through and out of office on the Electronic Document Management System (EDMS). Update EDMS daily, and takes action as required in system to assign, task, notify and otherwise coordinate with office attorneys.
  • Maintain purchase card authority and uses card to pay for purchases as requested and approved. Monitor, track, and order office supplies.
  • Maintain COR certification to fulfill contract oversight duties on Agency contracts and IAAs.

The Ideal Candidate is a smart self-motivator with experience in a full range of administrative activities, including arranging travel, contract officer representative and correspondence management systems.

CONDITIONS OF EMPLOYMENT:

  • SELECTIVE SERVICE: Males born after 12/31/1959 must be registered for the Selective Service.
  • PROBATIONARY PERIOD: You must complete a one-year probationary period (unless already completed).
  • TIME-IN-GRADE: Federal applicants must have served 52 weeks at the next lower grade in the competitive or excepted service in the executive branch to satisfy time-in-grade restrictions contained in 5 CFR 300, Subpart F.
  • DEU REQUIREMENTS: Applicants selected under delegated examining procedures may be required to successfully complete a one-year probationary period (unless already completed).

Qualifications

To meet the minimum qualifications for this position, you must meet either the education or experience qualifications for the grade.

To qualify for the GS-11 on Experience, you must have at least one year of experience equal or equivalent to the GS-09 it must include:

  • Experience tracking information and performing other administrative tasks such as scheduling meetings and maintaining calendars; reviewing, editing, creating and tracking correspondence, and making a full range of travel arrangements.

To qualify for the GS-11 on Education alone, you must have:
3 years of progressively higher level graduate education leading to a Ph.D. degree or Ph.D. or equivalent doctoral degree.
You can also qualify based on a combination of higher level graduate education and experience. This must be fully supported by your resume and transcripts, provided with your application.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

Integrity/Honesty - Contributes to maintaining the integrity of the organization; displays high standards of ethical conduct and understands the impact of violating these standards on an organization, self, and others; is trustworthy.

Contracting/Procurement - Knowledge of various types of contracts, techniques, or requirements (for example, Federal Acquisitions Regulations) for contracting or procurement, and contract negotiation and administration.

Clerical - Knowledge of filing, typing, entering data, maintaining records, and using and completing forms.

Knowledge of rules style, procedures for preparing correspondence, policies and other documents related to the work of the organization.
