Summary

This position is located in the Office of Communications and External Affairs (OCEA). The Office manages the Institution’s internal communications, media relations, social media and marketing functions. OCEA is also responsible for crisis communications. It coordinates and advises public affairs offices in all SI units. OCEA produces the Smithsonian’s flagship website, an online newsroom, and a website/blog to promote SI content covering art, history, culture and science.

Duties

Help

As the Management Support Assistant, you will provide administrative support to the Office of Public Affairs (OPA), Office of Visitor Services (OVS), the Office of Government Relations (OGR), and the Office of Special Events and Protocol (OSEP).  You will report to the Administrative Officer.

You will also perform the following duties:

  • Conducts studies of clerical work processes in various organizations to identify, analyze, and recommend solutions to problems in administrative procedures, work processes, and methods to assure program operations.
  • Independently tracks income and expenditures from a wide variety of federal and/or trust funds.
  • Procures a variety of items that include office and classroom supplies, technology, purchase orders, invoices, honoraria, custom goods or services (such as design & production), or programs which require the whole range of supporting contracting transactions. Obtains prices and surveys market for readily available goods or services.
  • The position performs HR processing support functions for Smithsonian employees under federal and trust personnel systems, distinguishing between salaried and hourly arrangements.
  • Makes travel arrangements including booking hotels, transportation tickets, and rental cars. Prepares travel authorizations and vouchers in on-line system and obtains necessary approvals.

Qualifications

Experience :You qualify for this GS-05 position if you possess one year of specialized experience at the GS-04 level.  For this position specialized experience is  assisting in providing administrative support functions three of the following data entry, filing, timekeeping, scheduling, travel arrangements, authorizations and vouchers, phone or mail handling and reception duties.

 OR

Education :

You must have a 4 years above high school.

OR 

A combination of education and experience equivalent to that described above

You qualify for this GS-06 position if you possess one year of specialized experience at the GS-04 level.  For this position specialized experience is providing administrative support functions three of the following data entry, filing, timekeeping, scheduling, travel arrangements, authorizations and vouchers, phone or mail handling and reception duties; and reconciling financial records.


Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.
