Duties

Help

The Assistant Registrar is responsible for controlling and documenting NMAAHC objects, handling collection loans, arranging for the packing and shipping of objects and maintaining automated collection information systems (CIS).

In this position, you will:

  • Manage collection acquisitions, de-accessions and disposals, including CIS.  Document legal title for objects and ensures relevant processes are documented.
  • Manage domestic and international loans to and from the museum.  Ensure accountability of all collection objects under loan contract.
  • Manage packing, shipping, and receiving of new acquisitions and loans, collection moves to and from offsite storage and moves within the museum building.   
  • Record, update, and maintain collections information in the museum’s electronic collections information system, to include The Museum System (TMS).
  • Create and sign loan contracts on behalf of the museum.  Write specifications for movement, packing and shipping of objects.

Qualifications

Basic Qualification:  Experience related to the operation or management of a museum or similar collection of valuable objects. Examples of qualifying specialized experience include collections management, registration, cataloging, research, preservation, restoration, or conservation of collections of museum material, or other experience related to the position to be filled. Most positions require a particular subject-matter specialization, e.g., aeronautics, anthropology, art, geology, history, natural science, technology, biology, or zoology.

In addition to the basic qualification requirement above:

Experience for GS-09: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-07 level in the Federal Service.  For this position, specialized experience is defined as demonstrated experience administering domestic and/or international loans; handling packing, shipping, and receiving new acquisitions and loans; recording, updating, and maintaining collections information; and administering collection acquisitions.

Experience for GS-11: You qualify for this position if you have one year of specialized experience equivalent to at least the GS-09 level in the Federal Service.  For this position, specialized experience is defined as demonstrated experience controlling and documenting domestic artifacts or objects; handling and documenting domestic and international incoming and outgoing loans; packing, and shipping incoming objects, and performing collections accountability through managing a collections information system in a museum or similar institution and all automated information related to objects and collections, deaccessions and disposals.  

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Part-time and/or unpaid experience related to this position will be considered to determine the total number of years and months of experience. Be sure to note the number of paid or unpaid hours worked each week.

Or Education for GS-09:  2 full academic years of progressively higher level graduate education or master's or equivalent graduate degree related to the position.

GS-11:  There is no education substitution requirement at the GS-11.

You will be evaluated for this job based on how well you meet the qualifications above.

Your application will be evaluated first for the basic qualifications described above.  The applications that meet the basic qualifications will be evaluated further against the following criteria:

  1. Skill in applying practices used in the registration, inventory, documenting and tracking of museum artifacts or objects.

  2. Ability to coordinate and document all phases of loan process from inquiry through fulfillment, including initial loans, extension or renewals/returns. 
  3. Skill in determining the condition and value of new acquisitions and objects; evaluating and selecting appropriate materials and methods for packing and shipping.   

  4. Knowledge of computerized collection information management systems used in museums, to include The Museum System (TMS).
  5. Ability to communicate in writing.
