As an Executive Assistant, you will:

  • Manage, expedite and/or personally perform all administrative work associated with the day-to-day management of the immediate office. Coordinate all workflow between the Operations Division and other offices within the agency. Relieve the Chief Operating Officer of administrative details by diverting matters that can be handled personally or referred to subordinates. Create weekly reports of activities, accomplishments and outstanding commitments or actions.
  • Arrange for the development of briefing materials, talking points and executive summaries. Assess available information, determine adequacy, and gather pertinent background information. Conduct independent research to collect, compile, analyze and present information, or works with staff members to develop such materials that meet standards for clarity and conciseness. Ensure the Chief Operating Officer is fully apprised of pending issues and policy developments and is fully briefed and prepared for meetings and appointments.
  • Monitor all office administrative functions and transactions; track status of projects, program operations, and responses to correspondence and other requests. Advise the Chief Operating Officer of any potential shortfalls; and recommend solutions to deal with office and administrative concerns.
  • Manage calendars, make meeting and travel commitments for the Chief Operating Officer, and other staff members based on an understanding of programs and priorities. Use electronic calendar software to control staffs' calendars and determines priorities based on an understanding of the Chief Operating Officer's priorities and commitments. Arrange meetings, including space, time, and staff. Locate, compile and assemble background material for agenda items.
  • Receive and screen all visitors, telephone calls, and emails for the Chief Operating Officer.

Qualifications

You must meet the following requirements within 30 days of the closing date of this announcement.

Specialized Experience: For the CN-43, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the CN-42 grade level in the Federal service. (For qualification purposes, the CN-42 is broadly equivalent to the GS-09). Specialized experience for this position includes:
- Experience utilizing office automation systems (i.e. Microsoft Office Suite) to prepare correspondence, reports, or other written materials; AND
- Experience managing phone calls, email, and calendars in order to make meeting arrangements and resolve meeting conflicts, and tracking the status of projects; AND
- Experience assisting in making and coordinating travel arrangements (i.e. prepping travel orders, scheduling travel, and making arrangements).

Salary may be set from the minimum of the salary range to the midpoint of the salary range. In some instances, based on a selectee's extensive experience directly related to the position, salary may be set at or above the mid-point up to the maximum salary for that band level. The experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis.
