Duties

Help
  • Establish and maintain custody of outpatient medical records according to the Modern Army Record Keeping System (MARKS).
  • Responsible for annual dependent records retirement, separating, screening, selecting, assembling, packing and preparing records for shipment to the National Personnel Records Center.
  • Responsible for Active-Duty records retirement, obtaining any paper records, combine with dental record, packing and preparing records for shipment to the Army Records Processing Center.
  • In-process and Out-process personnel by receiving a copy of the permanent change of station (PCS) orders or separation orders, completing transfer forms, and/or records request forms.
  • Prepare and answer requests for paper medical records to and from other Military Treatment Facilities.
  • Determine the eligibility of new patients by checking identification cards (ID), Defense Enrollment Eligibility Reporting System (DEERS), and pertinent regulations.
  • Respond to record inquiries from patients, their authorized representative, and/or other third parties (law firms, insurance companies, government agencies, etc.), and determine the validity and eligibility of each record requested.
  • Responsible for scanning medical documents in an automated system, such as MHS Genesis.

Qualifications

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Specialized Experience: One year of specialized experience which includes, 1) Updating, reviewing and/or maintaining medical records, and
2) Utilizing office automation systems such as, AHLTA, CHCS, MHS Genesis, EPIC, etc., to input data and verify eligibility of patients, and perform other similar checks. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

OR

Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR

Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
