Major Duties Include (but not limited to):

Develops action and implementation plans to initiate new processes and/or policy changes.
- Reviews and provides guidance to identify strategies to reduce backlog.
- Oversees and monitors existing or emerging workflow issues within department.
- Coordinates with the Veterans Experience, data quality, scheduling supervisors, and analytic groups.
- Research and develop response letters for Director's signature for patient and congressional inquiries.
- Oversees and monitors the Scheduling Operations (scheduled appointments; walk-in, call-center requests, tele-health, online requests processing).
- Responsible for the recruitment of supervisory personnel within the section assigned at both the Gainesville and Lake City Division.
- Directly mentors and ensures leadership and supervisory training development for staff occurs during the fiscal year.
- Ensures work processes and finished work products are technically accurate and in compliance with instructions or established procedures.
- Plans for and holds staff meeting to communicate information to employees on a regular basis.
- Responsible for daily assignments, quality reviews, personnel reports, and timecard reconciliation.
- Hears and resolves informal complaints or grievances from internal and external customers. Consults with human resources with unfamiliar personnel matters. Counsels employees on performance and conduct related issues.

Work Schedule: 8:00AM- 4:30PM, Monday- Friday (40 hours per week)

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/17/2023.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: 1.) Preparing statistical reports, advising upper management or medical center leadership staff of problems which impact service and/or facility. 2.) Discussing and resolving innumerable problems, issues, and questions relative to policy and general medical operations. 3.) Develops, evaluates, adjusts, and prioritizes functions, programs, procedures, and clinical management systems to accomplish the facility's mission. 4.) Implementing changes, devising new techniques and implements training to improve communication. OR,
  • Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have a masters or equivalent graduate degree OR 2 full years of progressively higher level graduate education leading to such a degree OR LLB, or J.D. if related. OR,
  • Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond graduate level.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Work is performed in a typical office setting and mostly sedentary. However, there is frequent walking since most of the employees are located throughout the facilities. Some travel will be required. Recurrent rounds must be conducted, as well as minimal standing, bending, carrying of light items, such as papers, files, books, supplies etc.
