This position is located at the Kansas City VA Medical Center, within the Health Information Management Section (HIMS) of the Business Operations Service (BOS) and supports the transition from maintaining paper health records to electronic health records through the use of Computerized Patient Records System (CPRS) templates or other scanning procedures.

Major duties include, but are not limited to:

  • Performs duties related to medical records: receipt, intake, scanning, indexing, quality control, destruction, and transfer of health and administrative information.
  • Scans various health information documents and assures that the scanned documents are associated to the correct patient and note in CPRS.
  • Confirms record integrity and review the image quality.
  • Ensures regular quality checks are carried out according to described time frames and criteria.
  • Notifies the Supervisor when images are scanned into the wrong patient's record, are indexed incorrectly or corrupted.
  • Reviews received documents to ensure they meet appropriate scanning criteria and that all necessary health/administrative information meeting the criteria is integrated into CPRS through the scanning software and hardware.
  • Indexes all documents imported from other devices or sources, including pdf, tiff, jpeg files, etc in VistA Imaging.
  • Maintains confidentiality of all electronic records and paper components of the health records.
  • Utilizes computers to perform a wide variety of record keeping, correspondence, and tracking operations.
  • Interacts daily with other administrative and clerical staff members throughout the facility.
  • Communicates and treats customers in a courteous, tactful and respectful manner providing the customer with consistent information according to established policies and procedures.

Work Schedule: Monday through Friday 7:00 am to 3:30 pm, 7:30 am to 4:00 pm, 8:00 am to 4:30 pm

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/19/2023.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-4 position you must have served 52 weeks at the GS-3. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

Typing Requirements: Must be able to type a minimum of 40 works per minute.

You may qualify based on your experience and/or education as described below:

GENERAL EXPERIENCE: You must possess one year of general experience. General Experience is progressively responsible clerical, office, or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of this position being filled. Examples of general experience include: working with a personal computer (PC), copying and duplicating equipment; performing duties in reproduction and mail area to provide reproduction materials or general office duties.

EDUCATION:
You must have successfully completed at least two (2) years of education above the high school level. This education must have been obtained in an accredited business or technical school, junior college, college or university. One full year of full-time academic study is defied as 20 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPTS REQUIRED)

COMBINING EXPERIENCE AND EDUCATION:
Applicants may also combine education and experience to qualify at the GS-04 level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-04. For example, an applicant who has 9 semester hours of graduate level education (i.e.50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position). (TRANSCRIPTS REQUIRED)

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: This work is primarily sedentary in nature in an office environment. Most duties can be accomplished from a sitting position.
