As a/an Staff Assistant, you will:

  • Screen and receive all calls and visitors to the Office in a professional manner. Ascertain the nature of business, and using own discretion, determines whether and how to refer calls or visitors to supervisor or staff member.
  • Arrange meetings and conferences for and as requested by the Office Director. Arrangements include locating the facility, ensuring necessary materials are available, notifying or inviting participants, and arranging for speakers and guests. Prepare agenda, arranges special appointments for the supervisor, and as required attends conferences or meetings when requested by the Office Director, prepare briefings, and follow up on commitments, or action items that arise from the meetings.
  • Maintain suspense file and log of due dates to ensure timely reply or action. Route correspondence to appropriate managers or other technical personnel without going to the supervisor until final reply is returned.

Key Requirements:
  • Must be U.S. Citizen or U.S. National.
  • A one year probationary period may be required.
  • This position requires the successful completion of a background investigation.

Qualifications

You must meet the following requirements by the closing date of this announcement.

Specialized Experience: For the GS-09 grade level, you must have one year (52 full weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 grade level in the Federal service. Specialized Experience for this position includes:

- Screening emails/callers/visitors and referring correspondence to appropriate area.; AND
-
Assisting in creating or updating office policies and procedures.; AND
- Creating and reviewing office correspondence for correct grammar, punctuation, format, and writing style in a database or other electronic system.; AND
-
Assisting with program reviews, preparation of training needs, as well as assisting with special assignment plan of actions.

OR Education:
You may substitute education for general or specialized experience as follows:
-master's or equivalent graduate degree OR
-
2 full years of progressively higher level graduate education leading to such a degree OR
-
LL.B. or J.D., if related.

OR Combination: You may qualify by a combination of experience and education. To combine education and experience, the total percentage of experience at the required grade level compared to the specialized experience requirement, as well as the percentage of completed education compared to the education requirement must equal at least 100 percent.

Experience may have been gained in either the public, private sector or volunteer service. One year of experience refers to full-time work; part-time work is considered on a prorated basis. To ensure full credit for your work experience, please indicate dates of employment by month/day/year, and indicate number of hours worked per week on your resume.

Education

The education generally must be from an accredited (or pre-accredited) college or university recognized by the U.S. Department of Education. If you are qualifying based on foreign education, you must submit proof of creditability of education as evaluated by a credentialing agency. Refer to the OPM instructions.
