Summary

This position is in the Warehouse Department, Administrative Services Division (ASD), Office of the Administrator, National Gallery of Art (NGA).

The primary purpose of the work in this position is to perform records information management work which includes planning, controlling, directing, organizing, accessing, storing, monitoring, disposal, training, and other activities involved with respect to records creation, records maintenance and use, and disposition of records.

Duties

Help

As the Records & Information Management Specialist, you will:

  • Maintain oversight for the National Gallery of Art’s temporary records management program. Storing, researching, and disposing of temporary records.
  • Plan, organize, coordinate, and establish controls for activities in the National Gallery of Art’s temporary Records Management Program.
  • Provide oversight and management of the records information life cycle, maintenance, amendment, and disposition (destruction, shredding, sanitization, and transfer).
  • Develop and implement National Gallery of Art policies and procedures in accordance with National Archives and Records Administration (NARA) and other applicable federal laws and regulations and work to ensure compliance and recommend improvements in records management practices. 
  • Apply information technology data services and data transformation strategies and policies to National Gallery’s Departments and Divisions.
  • Modernize records management functions by managing the transition of agency paper records to electronic records. 
  • Ensure that all documents are retained in a digital form following OPM guidance and federal laws. 
  • Work extensively with the National Gallery’s Information Technology (IT) office on electronic recordkeeping requirements, records management. 
  • Work with the information technology (IT) office on electronic record keeping requirements and records management applications and provide policy and governance on the use of records management tools to ensure best practices and agency compliance with Federal statutes.Coordinate the proper disposition of records IAW Gallery policies and NARA guidance directive. 
  • Identify procedures and methodologies to improve the effectiveness and efficiency in the life cycle management (creations, retention, maintenance, processing, use, access, release, safeguarding, declassification, and final disposition) of the organization's temporary records and documentation IAW National Gallery policies.  Evaluate records storage requests in accordance with the approved records schedule.
  • Evaluate records storage requests in accordance with the approved records schedule.  
  • Assign record control numbers to requesting offices. 
  • Evaluate records storage requirements; and coordinates and monitors the transfer of records from National Gallery offices to the warehouse records storage facility.
  • Monitor records database and prepares reports on records retention, storage, and  disposition for records owners and management officials.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-308-11. Candidates must possess at least one year of specialized experience, equivalent in responsibility to the federal GS-9 level, providing records information management work which includes planning, controlling, directing, organizing, accessing, storing, monitoring, disposal, training, and other activities involved with respect to records creation, records maintenance and use, and disposition of records.
