Duties

As a SECRETARY (OFFICE AUTOMATION) at the NK-0318-3 some of your typical work assignments may include:

  • Prepares a wide variety of recurring and nonrecurring correspondence, reports, and other documents from information obtained from the staff, files, and other sources.
  • Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives.
  • Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits.
  • Independently notes and follows-up on commitments made at meetings and conferences by staff members, and maintains supervisor's calendar, coordinates meeting arrangements, and/or schedules meetings and/or conferences.
  • Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office.

Qualifications

You may qualify at the NK-III, if you fulfill the following qualifications:

A. One year of specialized experience equivalent to the NK-II (GS-07) grade level or equivalent under other pay systems in the Federal service, military, or private sector:

  • Preparing a wide variety of recurring and nonrecurring correspondence, reports, and other documents from information obtained from the staff, files, and other sources.
  • Reviewing and processing incoming and outgoing correspondence, materials, publications, regulations, and directives.
  • Receiving telephone calls, greeting visitors, and ascertaining the nature of the calls or visits.
  • Independently noting and following-up on commitments made at meetings and conferences by staff members, and maintaining supervisor's calendar, coordinating meeting arrangements, and/or scheduling meetings and/or conferences.
  • Developing, establishing, updating, and maintaining office procedures and records/files of various types to ensure effective and efficient operation of the office.
In addition to meeting qualifications, your application package must reflect the applicable experience to meet the Proficiency Requirements for the 0318, as listed below:
  • Applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.
    • Clerk-Typist, GS-2/4; Office Automation Clerk/ Assistant (any grade); (Typing) (any grade); and (Office Automation) (any grade): 40 words per minute typing speed.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of education may not be used in lieu of specialized experience for this grade level.
