Duties

Help

As the Administrative Specialist in OAD you will:

  • Serve as a liaison between EHR OAD and the executive offices of other NSF Directorates, the NSF Director's Office and other national and international organizations.
  • Formulate decisions regarding change in responsibilities or business needs, improves program effectiveness by monitoring and assessing complex administrative processes and projects by applying analytical methods and techniques.
  • Research a wide variety of subjects and analyzes data and information in order to provide the OAD executive and senior leadership team with authoritative information and material which is utilized in the preparation of reports, policy documents, speeches, etc.
  • Open and screen incoming mail, and handling items that need immediate attention, which are often confidential in nature.
  • Track requests and communications from the NSF Director's Office, the National Science Board Office, the Office of Legislative and Public Affairs (OLPA) and other national and international organizations to ensure timely and accurate responses.
  • Plan and coordinate travel, accommodations and transportation arrangements for EHR OAD executive and senior leadership.
  • Serve as the appointment scheduler for the Deputy Assistant Director.

Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent.

Qualifications

To qualify at GS-7 level, you must have one of the following:

- At least one year of specialized experience equivalent to the GS-5 level in the Federal service. Specialized experience may include: performing administrative or specialized functions involving the analysis of problems to identify key elements & causes; researching to gather pertinent data; using judgment to recognize solutions; planning to organize work; coordinating logistical arrangements; and communicating orally and in writing to answer inquiries, develop reports, or deliver presentations. OR

- Possess one full year of graduate level education or Superior Academic Achievement (SAA). SAA is the completion of all the requirements for a bachelor's degree from an accredited college or university, which is based on (1) class standing, (2) grade-point average (3.0 or higher as recorded on an official transcript, or as based on courses completed during the final 2 years of the curriculum) or (3) honor society membership. Qualifying education may have been gained in any field. All degrees must be from an accredited college or university. OR

- Possess a combination of post high school education and experience that together meet the qualification requirements for this position.


To qualify at the GS-9 level, you must have one of the following:

-One year of specialized experience equivalent to the GS-7 level in Federal service applying analytical and evaluative techniques to the identification, consideration, and resolution of issues or problems of a procedural or factual nature. Examples of specialized experience include: serving as a personal assistant in a confidential capacity to a senior agency official; performing management planning, meeting planning, and coordinating and organizing policy activities; performing various administrative duties independently; and completing special assignments of a high priority and sensitive nature. OR

-Possess a master’s or equivalent graduate degree. OR

-Possess 2 full years of progressively higher level graduate education leading to such a degree. OR

-Possess a combination of post high school education and experience that together meet the qualification requirements for this position.

To qualify for the GS-11 level, you must have one of the following:

-One year of specialized experience equivalent to the GS-9 level in Federal service applying analytical and evaluative techniques to issues or special projects concerning the efficiency and effectiveness of program operations. Examples of specialized experience include: speaking for the Assistant Director in informal circumstances, communicating their goals and objectives; researching a wide variety of subjects and analyzing data and information in order to provide the Assistant Director with authoritative information and materials; planning and coordinating travel, accommodations, and transportation arrangements for the Assistant Director and special guests.  OR

- Possess a Ph.D. or equivalent doctoral degree.  OR

- Possess 3 full years of progressively higher level graduate education leading to such a degree.  OR

- Possess a combination of post high school education and experience that together meet the qualification requirements for this position.

Education may be substituted for experience as described in "Qualifications."
