Summary

This position is located in the Health Information Management Section {HIMS) of the Planning, Performance, and Development Service at the South Texas Veterans Healthcare System and is under the direct supervision of the Assistant Chief, HIMS. The incumbent serves as the File Unit Supervisor and is responsible for the conversion, storage and maintenance of all medical records in all formats.

Duties

Help

Incumbent is responsible for the daily operation of the File Unit at the Audie L. Murphy Division and throughout the South Texas Veterans Healthcare System.

Incumbent clearly understands the mission, vision and operational goals of the Health Information Management Section, STVHCS and fully supports all VA programs and activities. Incumbent keeps abreast of policies and directives governing medical records administration and HIMS activities. Ensures procedures are in place in accordance with stated policies and directives. Assures all written correspondence prepared for the signature of the Section Chief or Service Chief is accurate, timely and grammatically correct. Assures written reports are timely, accurate, understandable and logically organized.. Assures written reports are timely, accurate, understandable and logically organized.

Ensures that all correspondence and medical record documents received in the Files Unit is properly filed in the patients' medical record within 5 days of receipt. Ensures that all medical records requested are in good condition and correct filing format prior to charging out to borrowers.

Assures employees are functioning at or above a fully successful level in order for the unit to provide the expected support to other sections, services, veterans and others with whom there is contact.

Responsible for maintaining a safe work environment and adhering to required safety procedures at all times. All accidents (potential hazards) regardless of severity are properly reported. Assures that employees complete all Fire and Safety training sessions annually.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/26/2022.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Ability to maintain all documentation throughout the STVHCS. Ability to provide direct supervision in the performance of medical record administration activities, plans work to be accomplished, sets short term and long-term goals, assigns work based on priorities, instructs employees on work and administrative matters. Ability to provide customer service by treating patients, co-workers and medical center personnel with courtesy and professionalism, evaluates work performance and develops performance standards.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Physical Requirements: Moderate lifting (15-44 pounds), moderate carrying (15-44 Pounds), use of computer screen, ability to distinguish basic colors, hearing aid may be permitted, ability to communicate with patients and staff.

Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
