Summary

This position is located in the Bureau of Justice Statistics (BJS). The incumbent serves as Executive Assistant to the Director and provides advanced administrative and management support to key leadership staff. The incumbent is responsible for oversight of the Director's day-to-day functions, such as prioritizing and scheduling activities; reviewing, prioritizing and responding to communications; preparing and arranging documents and logistics for meetings and travel; and maintaining records.

Duties

Works directly with the Director to support all aspects of the daily work routine. Plans, organizes, arranges, and maintains the Director's schedules and calendars, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements and detailed travel itineraries. Coordinates meeting locations, dates, participants, and agendas.

Provides a wide range of administrative support such as, assisting the Director and other BJS leadership in obtaining or using information technology within the office; assisting in establishing and monitoring contracts or other special arrangements for administrative, logistical, or other support provided to BJS staff.

Reviews and edits documents prepared for the Director based on knowledge of the goals and priorities. Prepares correspondence, or reviews correspondence prepared by others for consistency with the Director's views, perspectives, and communications style.

Researches and resolves problems of a common or immediate nature, independently or in concert with others. Conducts studies, analyses, and evaluations of the efficiency, effectiveness, and productivity of office operations, and presents ideas, suggestions, and proposals for improvement.

Qualifications

MINIMUM QUALIFICATION REQUIREMENTS:

Grade 11:


Qualifying experience for the GS-11 level includes one year of specialized experience at least equivalent to GS-9 which is in or directly related to the line of work of the position to be filled and which has equipped the applicant with the particular knowledge, skills, and abilities to successfully perform the duties of the position. Examples of specialized experience are: experience in preparing meetings, presentations, and project content for senior leadership and communicating messages on behalf of senior leadership; ability to interpret and apply policies involving sensitive or unusual situations; demonstrated experience adjusting goals, priorities, and deadlines to meet substantial changes in methods, procedures, and workloads; demonstrated experience in office administration, supporting senior level executives, maintaining calendars, arranging meetings and conferences, coordinating travel arrangements, and preparing reports; assisting with prioritizing office operations and handling routine situations and matters.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE

Experience requirements at the GS-11 level may be met by three (3) full academic years of graduate level education or the successful completion of a Ph.D. or equivalent doctoral degree.

COMBINATION OF EDUCATION AND EXPERIENCE

Equivalent combinations of successfully completed education and experience may be used to meet the experience requirements.

TECHNICAL QUALIFICATIONS:

Applicants who meet the minimum qualifications as described above will be further evaluated based upon the following Technical Qualifications.

TIME-IN-GRADE REQUIREMENT: Status applicants for promotion must have 52 weeks of service at the next lower grade by the closing date.
