This position is located in the Department of Humanities, United Merchant Marine Academy (USMMA), Maritime Administration (MARAD). This position is established to provide clerical and administrative support to a Department Head. This includes by carrying out and coordination all the clerical and day-to-day administrative support activities which are typically required to accomplish the work of the organization.

Duties

Help

As a Staff Assistant (Office Automation), you will:

  • Assist in completing the daily overall administration and management of the office.
  • Advise the Department Head and staff on administrative and procedural requirements. 
  • Maintain time and attendance records in Consolidated Automated System for Time and Labor Entry (CASTLE); provides training or guidance to staff members on timekeeping rules and procedures, and resolves time and attendance issues as required. Order subscriptions and office supplies and maintains a record of expenditures. 
  • Serve as property custodian for the office and carries out those duties as assigned.
  • Use a variety of office software such as MS Office software to prepare, edit or update documents, reports, spreadsheets, minor databases, and slide presentations.
  • Assist staff in preparing office reports and data gathering.
  • Edit, format, and check for grammatical accuracy of office reports.
  • Review administrative documents for outdated or irrelevant material and updates the information as appropriate.
  • Prepare and manages a variety of lists, forms, and reports, including office personnel rosters and emergency recall list.
  • Submit documents to higher level staff members or supervisor for changes or approval, as appropriate.

CONDITIONS OF EMPLOYMENT:

To meet the minimum qualifications for this position, you must meet the experience qualifications for the grade at which you are requesting consideration.


To qualify, you must have at least one year of specialized experience equal or equivalent to the following:

To qualify for the GS-07, you must have at least one year of equal or equivalent experience equal to the GS-06, which includes:

  • Experience performing administrative support to the highest level of authority in the office and stakeholders.
  • Experience maintaining calendar, making travel reservations, scheduling meetings, receiving visitors, and preparing and following up on pending or required correspondence actions.
