Duties

Help
  • Perform the full range of receptionist, recordkeeping, and miscellaneous clerical duties within the ambulatory setting.
  • Enter/retrieve data from automated systems, such as, Composite Health Care Sys (CHCS), the Ambulatory Data Sys (ADS), the Armed Forces Health Longitudinal Tech App (AHLTA), Patient Appointment System (PAS) and Defense Manpower HR Sys Info (DMHRSi).
  • Coordinate and/or schedule patient appointments with other clinics or specialties wither manually or within CHCS.
  • Receive patients and visitors as the initial point of contact, in person or telephonically.
  • Monitor and manage Army Medicine Secure Messaging System (AMSMS) at the clinic and/or practice level.
  • Ensure eligibility for care, and contacts Patient Administration for verification when needed.
  • Provide information regarding the practice, clinic, and hospital policies, procedures, and locations to patients, family members, staff, etc.
  • Maintain all patients' records, both electronic and paper, according to regulation ensuring each entry contains proper patient and health care provider identification.
  • Ensure the patient completes all necessary forms prior to being seen by the provider.
  • Responsible for all clerical duties inherent to the in-processing (reception), care, and out-processing (transition) of outpatients, families, caregivers and guests.
  • Respond to emergency calls and notifies emergency medical personnel.
  • Follow clinic/practice communication procedures, which may include operating emergency phone lines, public announcements systems and emergency alarms.

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position has a mandatory seasonal influenza vaccination requirement. May be required to undergo Tuberculosis monitoring.
  • A qualified typist is required.
  • This is an inclement weather essential position. Incumbent is expected to make every attempt to report for duty on time, and/or remain on duty during severe weather conditions.
  • May be required to obtain/maintain a certification in community basic life support (CPR).
  • May be required to work weekends, call duties, and evenings.
  • A physical exam may be required.
  • This position may have specific initial background investigation and periodic re-verification requirements since its duties require interaction with children and youth under the age of eighteen (18) years of age on a regular and recurring basis.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Specialized Experience: One year of specialized experience which includes working in an inpatient or outpatient treatment ward or clinic in a medical facility performing work which included: Receiving patients; Scheduling appointments; Maintaining charts, files or records; Providing information to patients, professional medical staff and the general public; Maintaining an inventory of supplies; and Utilizing a personal computer and office automation software programs.
This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).

Education
: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. (Note: You must attach a copy of your transcripts.)

OR

Combination of Education and Experience
: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. (Note: You must attach a copy of your transcripts.)
