Duties

Help

Duties include but are not limited to the following:

  • Performs a wide variety of functions to support of NASA Office of Inspector General's audit program, including direct support to the AIGA and DAIGA. Responsible for providing administrative and technical assistance to auditors and other OIG staff.
  • Monitors OA management and tracking tools, including PowerBI, to ensure mission goals are ever evolving and mission requirements are achieved.
  • Works directly with DAIGA to recruit, hire, and onboard staff consistent with OA capability requirements and diversity and inclusion goals.
  • Actively monitors status of all OA audits and reviews. Works directly with DAIGA and Program Directors to ensure all information is updated on a weekly basis and review meetings are scheduled and held as appropriate.
  • Works directly with DAIGA to monitor OA budget; tracks funding and disbursements in all accounts to ensure effective use of budget elements, including travel and training. Serves as a designated purchase cardholder for OA.
  • Maintains required documentation to track allocated purchase card budget, expenditures, and balances.
  • Prepares procurement requests and/or purchase card documentation for services and equipment used by staff in support of audits and reviews.
  • Arranges official travel for AIGA, DAIGA, and other staff as necessary, including logistics related details of travelers during planning and execution of travel. Monitors operational status of all OA travel.
  • Manages calendars for Assistant inspector General for Audits (AIGA) and Deputy Assistant Inspector General for Audits (DAIGA) including scheduling appointments, speaking engagements, and organizational meetings.

Qualifications

In order to qualify for the Administrative Officer position, you must meet the following time in grade requirements and minimum qualifications:

TIME-IN-GRADE REQUIREMENTS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible. One year at the GS-11 level is required to meet the time-in-grade requirements for the GS-12 level; and one year at the GS-12 level is required to meet the time-in-grade requirements for the GS-13 level. (Please submit your SF-50 that shows Time-in-Grade eligibility and reflects your title, series, and grade. If your eligibility for both merit promotion and/or time-in-grade cannot be determined, your application will be rated ineligible. Please see Required Documents for additional information). Time-in-grade requirements also apply to VEOA applicants having held a GS position in the past year.

FOR THE GS-12 LEVEL:

Specialized Experience:
Applicants must have at least one or more full-time years (12-months) of specialized work experience, equivalent to at least the GS-11 grade level in the Federal service, performing the following duties: assisting with administrative support functions, such as reviewing and editing materials for grammar, style, and typographical errors; preparing purchase documents; completing inventory reports; drafting reports to identify deadlines; assisting with the management and reporting of program audit requirements; serving as a human resources liaison; correspondence control; gathering financial data for review and comparison; making travel arrangements and preparing travel authorizations and vouchers; maintaining time and attendance reports; and finalizing documents using software applications, including Microsoft and other database and graphics tools. Assistance with managing and evaluating operating procedures, administrative controls, and systems to develop or improve technology-related work processes. FOR THE GS-13 LEVEL:

Specialized Experience:
Applicants must have at least one or more full-time years (12-months) of specialized work experience, equivalent to at least the GS-12 grade level in the Federal service, performing the following duties: initiating/managing administrative support functions, such as reviewing and editing materials for grammar, style, and typographical errors; preparing purchase documents; completing inventory reports; preparing reports to identify deadlines; assisting with the management and reporting of program audit requirements; serving as a human resources liaison; reconciling financial data for review and comparison; making travel arrangements and preparing travel authorizations and vouchers; maintaining time and attendance reports; and developing support documents using software applications, including Microsoft and other database and graphics tools.
