Duties

Help
  • Assists with the interpretation of policy and procedures and provides guidance to Wing staff agency offices and applicable tenant units for the creation, maintenance, use and disposition of official records (both paper and electronic).
  • Manages the operation of the base records staging area.
  • Uses multiple office automation software with varied functions to produce a wide range of documents that often require complex formats.
  • Manages the Keesler shared network drive for official electronic records.
  • Manages the regional destruction facility for classified and sensitive records.

Qualifications

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-04, or equivalent in other pay systems. Examples of specialized experience includes thorough knowledge of the functions performed within the units services (e.g., the various operations performed within an accounting unit, the functions performed within an administrative services unit, etc.), a thorough knowledge of the subject matter content of the materials being processed and a thorough knowledge of correspondence procedures and filing systems characterized as "complex" in the Occupational Information section. Duties involve a range of mail and fil processes that may embrace the practical knowledge of records disposal procedures, mail systems procedures, etc., necessary to recognize problems within the unit and recommend improved procedures and methods to increase efficiency.

Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. NOTE: You must submit a copy of your transcripts.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:

  1. Ability to determine and plan program goals, and assist in the analysis, evaluation, development and implementation of plans, and to provide technical and/or administrative direction. Ability to make sound decisions, handle a multitude of concurrent and sometimes conflicting deadlines, and to effectively communicate both orally and in writing. Ability to recognize and analyze problems, conduct research, summarize results, and to make or assist in appropriate and sound recommendations/decisions.
  2. Knowledge of the operations, products, services, needs and goals of the programs(s) and the organizations studies or served, and related customers, functions, resources and users. Ability to review, analyzes, interpret and apply rules, regulations, procedures, proposals, and programs to identify and correct weaknesses. Ability to maintain good working relations, advise others, meet and deal with customers using a high degree of tact and diplomacy, and effectively communicate both orally and in writing. Ability to plan, organize work, met deadlines and develop and utilize appropriate data collection techniques to access or locate information through the use of a personal computer or terminal. Must possess sufficient analytical ability and knowledge of effective management principles and procedures and abilities to assist in the assurance that those prudent management, analytical and problem ­solving techniques are effectively employed.
  3. Ability to complete various formal training courses directly related to database management, electronic records management, and other office automation initiatives.
  4. Ability to communicate effectively in order to assist in the authoring or revision of regulations/instructions, supplements or any other directives pertaining to records management, procedures, computer systems utilization, software applications and to participate in or conduct briefings, meetings, training sessions and/or conferences, etc.
  5. Knowledge, skill and ability to assist in the management and operation of Air Force sponsored, developed and/or directed computer programs and other office automation applications, including hardware, firmware, and software. Must understand the capabilities, limitations, operating characteristics and cost effectiveness of applying these systems/applications in order to effectively communicate requirements, problems, solutions, and training needs to customers and higher headquarters.
  6. A qualified Typist is required.
PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social). Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
