Duties

Help
  • Serve as liaison between the Supervisor and the leadership staff for administrative, secretarial, and clerical assistance.
  • Maintain a daily calendar for supervisor based on knowledge of priorities and availability.
  • Make arrangements for meetings by reserving space, setting the specific time, and contacting all personnel expected to attend.
  • Arrange administrative matters, transportation, and lodging for participants and supervisor attending conferences and meetings.
  • Prepare official correspondence, confidential union and/or personnel related issues memoranda, congratulatory letters, and routine office reports ensuring proper spelling, punctuation, grammar, and formatting are used.
  • Record and transcribe the minutes during meetings to follow up on commitments made.
  • Determine what information should be brought up to the attention of the supervisor.
  • Use a collaborative platform application to share information, obtain information, attend online meetings, and connect with local, remote and distributed work groups.
  • Assist with creating Freedom of Information Act (FOIA) case files, coordinating records search and determine when the information is releasable.
  • Use agency applications to access, edit, update, or retrieve employees emergency contact information.

Qualifications

Specialized Experience Requirement:

For the GS-8: You must have one year specialized experience equivalent to the GS-7. Examples include: Provided clerical and administrative support and assistance on a full range of programs, policies, relationships and activities; maintained calendar of events for supervisor and program officers, including all necessary travel arrangements; received and screened telephone calls; composed letters and memoranda, reviewed draft or final correspondence prepared in program areas for signature or approval of the supervisor; supported all leadership team activities and provided staff support for that group.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
