Summary

Serves as the fellowship officer for the Center for Advanced Study in the Visual Arts, the research institute at the National Gallery of Art.  The incumbent is responsible for coordinating the fellowship program, working closely with senior scholars, academics, graduate students, visiting faculty, and museum professionals throughout the application process, liaison work with university graduate departments, and preparation of fellowship award contracts, visa requests, and license agreements.

The incumbent will:

  • Professional knowledge of museum and related cultural institutions, museum training programs, and not-for-profit internship and fellowship programs. Professional knowledge of contemporary administration for internship and fellowships. Professional knowledge of graduate-level art and art history programs both nationally and internationally.
  • Incumbent is responsible for all logistical arrangements for the selection committees, including travel and lodging for committee members attending on-site meetings and for pre-doctoral fellowship applicants invited for interviews. Travel arrangements are often complex, involving international itineraries confirmed and scheduled on short notice. Assures the proper adherence to Gallery administrative, procurement, and travel procedures and facilitates the effective flow of paperwork.
  • The Incumbent must possess good organizational, verbal, and written communication skills and be able to act diplomatically in communicating with selection committee members, staff at other institutions, and with fellows, guest scholars, and potential candidates. Familiarity with one or more foreign languages, as well as ability to comply with standards for presenting foreign language material in printed form and for electronic dissemination. The incumbent must be able to speak on behalf of the fellowship program in the absence of Associate Dean.
  • Oversees daily activities and responsibilities for the fellowship program. Incumbent is responsible for knowledge of the content of all fellowships offered by the Center and for providing information about fellowship opportunities and application process to the staff and to the public. Interacts regularly with graduate advisors, professors, and graduate students about fellowship and application requirements. Communicates regularly with third-party vendor to maintain online application system.
  • Knowledge of computers including Microsoft Word, Excel, File Maker, or other database or other programs is required. Knowledge of email marketing programs such as MagnetMail and web content management systems.

Qualifications

Candidates must meet the Qualification Standards Handbook requirements for the GS-301-11. Candidates must possess at least one year of specialized experience, equivalent in responsibility to the GS-9 level in the Federal service.  For this position, specialized experience is at least one year of experience, equivalent in responsibility to the GS-9 level in the Federal service, providing administrative support for a high-level manager in a museum, university, or similar cultural institution.

  5. Skill in using databases, spreadsheets, Web technology, and other software applications.

Time-in-Grade: Current Federal employees must meet time-in-grade requirements by the closing date of this announcement to receive consideration under merit promotion procedures.
